OpportunityRVS invites applications for a term, full‑time (35 hrs/wk) Administrative Assistant III – Schools position at W.H. Croxford High School starting March 6, 2026 to March 19, 2027. Interviews will be conducted the morning of February 26, 2026.
The Administrative Assistant III – Schools coordinates the school office workflow, manages school accounts and budget related duties, and provides general administrative support as assigned. The Administrative Assistant III – Schools maintains excellent working relationships with school staff, students, and the public.

Responsibilities- Acts as the lead administrative assistant to coordinate workflow in the school office, including providing informal leadership, training, and coaching to administrative staff as required
- Supports the Principal and staff in all areas of financial duties such as tracking department budgets, running financial reports, and reporting grant programs
- Manages financial duties including accounts payable, bank deposits, journal entries, and the collection and administration of student fees through the online fee payment system
- Maintains internal controls and safeguards for receipt of cash and communicates these controls as required
- Prepares purchase requisitions for purchase order requirements and confirms receipt of goods
- Participates in the annual budgeting and planning processes with school administration
- Maintains student permanent records, school records, student enrolments, attendance, and month‑end reports using various data‑management programs in a confidential manner
- Creates a variety of written documents in a professional manner as required
- Schedules appointments, books meeting rooms, and communicates with participants in a timely manner as required
- Assists with orientation of new school staff
- Organizes and facilitates school announcements
- Greets substitute teachers and substitute support staff and provides necessary resources
- Prepares, distributes, collects and categorizes various school forms
- Accepts, distributes, and expedites mail, couriered and delivered items
- Supports the administration of the community rental of the school/facility as required
- Certificate or diploma in office management, business administration, or a related field
- Three or more years’ experience in an administrative assistant role in an office environment
- Minimum 2 years’ previous experience with basic accounting/bookkeeping
- Previous experience within a school division and/or with Student Information Records Systems is considered an asset
- Previous supervisory experience is considered an asset
- An equivalent combination of Education and Experience may be considered
- Outstanding communication and customer service skills
- Highly effective organizational and prioritization skills
- Demonstrated ability to deal with a variety of complex and sensitive issues professionally and in a timely manner
- Ability to successfully work in a team environment as well as independently with minimal supervision
- Ability to think critically and deal with changing priorities in a fast‑paced environment
