Pease Bell, a fast-growing, mid‑size public accounting firm with over 170 professionals and a national client base, is seeking an Executive Assistant/Receptionist to join our Akron team.
The Executive Assistant/Receptionist serves as the first point of contact for the firm’s Akron office while providing high‑level administrative and operational support to a Tax Partner. This dual‑role position requires excellent organizational skills, professional communication, and the ability to manage multiple priorities in a fast‑paced public accounting environment. The ideal candidate combines the polish of a front‑desk ambassador with the discretion and technical aptitude required to support a Partner’s client‑facing tax practice.

- Act as an extension of the Partner by helping manage communications, priorities, deadlines, and follow‑up items on a daily basis.
- Monitor and respond to emails, phone calls, and messages on behalf of the Partner to ensure timely communication and exceptional client service.
- Proactively track outstanding items and follow up with internal team members and leadership to obtain information, updates, and deliverables.
- Help manage the Partner’s schedule, deadlines, billings, time entry, and client commitments to ensure priorities stay on track.
- Manage and prioritize dynamic and evolving responsibilities while anticipating needs before they arise.
- Serve as a primary liaison between the Partner, clients, firm leadership, and staff.
- Prepare, proofread, and distribute engagement letters, proposals, reports, and client correspondence.
- Coordinate meetings, calendars, travel arrangements, and other administrative logistics.
- Handle sensitive client and financial information with professionalism and discretion.
- Exercise strong judgment and independent decision‑making in managing priorities and day‑to‑day responsibilities.
- Assist with special projects and additional assignments in support of the Partner and broader team.
- Greet clients and visitors warmly and direct them appropriately upon arrival.
- Answer and route incoming phone calls in a professional manner; take accurate messages.
- Manage incoming and outgoing mail, packages, and correspondence.
- Coordinate with marketing to order firm‑sponsored meals and refreshments for meetings and events.
- Prepare and maintain meeting and conference rooms before and after each use.
- Ensure the reception area and all general areas are kept tidy, organized, and stocked with necessary materials.
- Provide general administrative support to colleagues across departments as needed.
- Assist with copying, scanning, document management, and other operational support tasks.
- 3+ years of experience as an executive assistant, administrative assistant, office coordinator, or similar role, preferably within a professional services environment.
- Strong ability to work with and support senior‑level executives in a fast‑paced, high‑demand setting.
- Confident communicator who is comfortable interacting with clients, partners, and staff at all levels of the organization.
- Naturally proactive, persistent, and resourceful when gathering information or driving tasks to completion.
- Exceptional organizational and time‑management skills with the ability to manage multiple priorities simultaneously.
- Ability to remain composed and professional while handling shifting priorities and occasional difficult situations.
- Strong sense of accountability and ownership with excellent follow‑through.
- High emotional intelligence and interpersonal skills; able to build trust and strong working relationships.
- Positive, polished, service‑oriented personality with a collaborative and adaptable approach.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfort learning new technology and workflow systems.
