This is advanced office support work in purchasing operations. An employee in this class assists the managerial and professional staff in carrying out the purchasing function for the City. Works under general supervision with considerable opportunity for exercising independent judgment in carrying out duties and responsibilities and setting priorities and procedures for the work.

Responsibilities
  • Perform administrative duties for the division, including answering phones, opening mail, sending correspondence, and taking minutes and notes.
  • Assist in initiating requests for Council legislation and for Board of Control recommendations and informational memos.
  • Tabulate and produce bid quotations and distribute them to appropriate staff.
  • Update City sites with quotes and bid opportunities.
  • Prepare and send supplier bid notification letters or emails.
  • Assist in preparing contractual documents for supplier's signature and execution by City Law Department.
  • Initiate and/or approve purchasing requisitions, supplier invoice requests, invoices, and receipts.
  • Research and compile background data necessary to assist supervisor, staff and other City personnel and answer inquiries as needed.
  • Assist in obtaining competitive prices for disposal of City surplus equipment and scrap material.
  • Maintain City surplus sales records.
  • Receive and deposit monies and enter ad‑hoc bank transactions.
  • Establish and maintain a variety of manual and computerized files and database systems.
  • Operate a variety of office equipment such as personal computer, printer, photocopier, facsimile, scanner, telephone, and calculator, performing related work as required.
Qualifications
  • Graduation from an accredited high school or GED.
  • Minimum of three years of paid responsible office support work in purchasing operations.
  • Considerable knowledge of modern office practices and procedures.
  • Knowledge of purchasing practices and procedures.
  • Knowledge of document format construction.
  • Skill in carrying out basic mathematical calculations and formatting and presenting standard statistical data.
  • Skill in establishing and maintaining manual and computerized file and database systems.
  • Skill in the use of standard office equipment for purposes of communicating, duplicating, data entry and retrieval, and document creation.
  • Skill in establishing and maintaining effective working relationships with others.
  • Ability to accurately work with cash accounts.
  • Ability to accurately compare, evaluate and transcribe words and numbers.
