This is highly responsible secretarial work in support of an executive of Akron Public Schools. Employees in this classification serve as personal and technical secretaries to administrators. The role involves representing the office to the public and other officials, requiring professionalism and discretion.
This position provides the opportunity to develop skills critical for supporting top-level administration, including managing sensitive information, handling complex scheduling, and facilitating communication with internal and external stakeholders.
Minimum Qualifications- Graduation from an accredited high school or G.E.D.
- A minimum of three to five years of responsible office experience supporting an executive level administrative assistant or secretary supporting a CEO/Executive Level administrator
- Experience with technology, Microsoft Office Suite, and Google Suites
- Associates degree or higher
- Experience working in a school district
- Frequent interactions with staff and visitors to the office and managing calls from community, parents, and district staff.
- May require some late evenings and weekend work.
- Occasionally required to work a flexible schedule and travel locally as needed.
- Ability to manage multiple responsibilities in a fast‑paced environment.
- Willingness to work outside of regular hours as needed to meet time‑sensitive deadlines or respond to urgent situations.
- Ability to coordinate and facilitate the planning and setup of workshops and events involving district staff, occasionally in collaboration with external organizations.
- Maintain a high degree of confidentiality in all duties.
- Provide secretarial and administrative support to the Human Resources Department.
- Assist in the preparation of meeting agendas, events, minutes, and materials.
- Collaborate with district leadership to provide informational reports to the Board, district, or community.
- Manage schedules, including maintaining calendars and coordinating appointments and meetings.
- Represent the office to the public and staff by providing accurate information and facilitating communications.
- Gather, organize, and present information to support administrative decision‑making.
- Exhibit a proactive approach in preparing for and addressing administrative needs.
- Use advanced computer skills to complete word processing, database, spreadsheet, and presentation tasks.
- Independently compose correspondence and prepare materials for signature.
- Contribute to the smooth operation of the office by assisting with special projects and initiatives.
- Demonstrates proactive problem‑solving by anticipating potential issues and taking initiative to address concerns before they escalated.
- Promote good public relations through professionalism and a positive attitude.
