Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
Position Summary
The Administrative Assistant provides day-to-day administrative support to ensure efficient office operations. This role is responsible for managing schedules, coordinating meetings, handling correspondence, maintaining records, and supporting the senior leadership team and HR with clerical and organizational tasks. The ideal candidate is detail-oriented, professional, and capable of managing multiple priorities in a fast-paced environment.
Scope / Supervision and InteractionHas Direct Reports:
None (Does Not Have Direct Reports)
- Coordinate travel arrangements, meeting logistics, and event planning as needed by Senior Leadership team or visitors.
- Schedule and manage larger site meetings, including onsite customer visits, site update meetings, and other meetings. Responsibilities include scheduling rooms, communicating agenda, ordering food, and all other administrative tasks needed.
- Support scheduling of interviews, new hire onboarding, and other talent acquisition tasks.
- Serve as main contact at the site for inquiries and ensure those are routed to the correct internal parties.
- Assist with invoice processing, expense reports, and routine administrative tasks.
- Support special projects and perform other clerical duties as assigned.
- Use tact and discretion when handling sensitive or proprietary information.
- Other responsibilities as assigned.
- High School diploma or equivalent.
- 3-5 years of relevant experience.
- Knowledge and experience as an executive assistant, able to interact professionally with associates at all levels.
- Ability to work independently and maintain confidentiality.
- Analytical skills and judgment to proactively identify and solve problems.
- Strong attention to detail, good organizational skills, and ability to prioritize with changing situations.
- Proficient in Microsoft Office Suite and database management tools.
- Excellent interpersonal, written, and oral communication skills to drive tasks to completion.
- Ability to solve complex problems and make decisions based on analysis of multiple sources.
