Position Summary

The Administrative Assistant - Mail Services is responsible for supporting mailroom operations at the Akron General Office (GO) facility through administrative, logistical, and customer service functions. This position coordinates the receipt, processing, distribution, and shipment of mail and packages; maintains postage and shipping records; supports courier operations; manages mailroom systems and equipment; and serves as a primary point of contact for internal and external mail service inquiries.

The role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Job Description

Market Rate: $46,000.00/k

Responsibilities
  • Demonstrate a strong commitment to safety and compliance in all work activities.
  • Coordinate the receipt, sorting, processing, and distribution of incoming mail and packages from USPS, UPS, Fed Ex, courier services, and other vendors.
  • Facilitate the delivery and retrieval of mail, packages, and courier materials throughout the facility.
  • Perform scheduled mail pickups and distributions across the Akron General Office complex.
  • Prepare and process outgoing U.S. Mail and package shipments, ensuring proper postage, documentation, and carrier selection.
  • Process and track outgoing shipments through carrier systems, including UPS and other approved shipping providers.
  • Maintain accurate postage accounting records, shipping documentation, reports, and spreadsheets.
  • Utilize First Energy systems, including the Employee Directory, Empower, and other business applications, to accurately route mail and support customer requests.
  • Respond to inquiries and provide mail, shipping, and delivery support to internal and external customers.
  • Fulfill requests for company publications, forms, and other materials.
  • Maintain mailroom equipment, including postage meters, strapping machines, and related equipment, and coordinate service requests when necessary.
  • Maintain mailroom work areas and mail receptacles in a clean, organized, and safe condition.
  • Reference carrier websites, shipping databases, and vendor portals to research shipments, rates, tracking information, and delivery issues.
  • Demonstrate strong attention to detail, sound judgment, and problem-solving skills to support operational efficiency and customer satisfaction.
  • Perform additional administrative and operational duties as assigned.
Qualifications
  • High school diploma or GED required.
  • Minimum of two (2) years of administrative, customer service, mail services, logistics, shipping/receiving, or related experience required.
  • Valid Ohio driver's license with an acceptable driving record required.
  • Must successfully pass the Company's Edison Electric Institute (EEI) Support and Administrative Selection System (SASS) assessment.
  • Strong organizational, time management, and multitasking skills.
  • Ability to work effectively both independently and as part of a team while fostering a respectful and inclusive work environment.
  • Strong attention to detail and ability to maintain accuracy while meeting deadlines.
  • Proficiency with Microsoft Office applications, including Outlook, Word, and Excel; SAP experience is preferred.
  • Effective verbal and written communication skills.
  • Ability to perform physical job duties, including bending, stooping, lifting up to 75 pounds, carrying up to 50 pounds, and standing or walking for extended periods.
  • Demonstrated commitment to safe work practices and compliance with company policies and procedures.
  • Ability to maintain company standards regarding attendance, conduct, appearance, work performance, and customer service.

We administer selection tests for a variety of positions. The required tests have been developed by the Edison Electric Institute (EEI), a trade association of investor-owned electric utility companies. We strongly encourage potential employees to review all information, including the sample test brochures, and to use the available practice tests before taking the actual tests.
