Position: Sr. Travel & Relocation Specialist

The Senior Travel & Relocation Specialist supports the day-to-day execution of company travel and relocation programs, acting as a key coordinate for senior leadership, general travelers, and third‑party providers.

Responsibilities
  • Traveler Support:
    Serve as a primary contact for all employee travel needs, resolve issues, answer questions, and guide employees on policy and process. Coordinate with the travel management company to ensure accurate and timely travel requests. Support executive and high‑priority travel coordination with the Travel Manager and ensure each arrangement is completed meticulously to the traveler’s satisfaction. Review travel requests for policy compliance and approvals before ticketing.

    Independently manage travel disruptions and exceptions, escalating complex situations to the Travel Manager. Onboard new travelers, train them on booking tools, and provide an overview of the travel policy. Maintain and update travel profiles and documentation. Provide support to Corporate Events and Conference Services for signet‑sponsored meetings and events. Offer occasional after‑hours support for senior leadership and international travelers as needed.
  • Supplier & Stakeholder Relationship Management:
    Liaise between internal stakeholders and external providers (TMC, relocation suppliers, service providers, etc.), ensuring timely communication. Manage day‑to‑day supplier relationships, monitor service delivery, responsiveness, and performance. Track and document service issues, recurring challenges, and traveler feedback; identify patterns and escalate trends to the Travel & Relocation Manager. Participate in supplier performance reviews, gather data, compile feedback, and prepare materials for quarterly or periodic reviews.

    Hold suppliers accountable for service delivery, escalating systemic issues and recommending improvements. Follow up with the Travel Manager on corrective actions and service improvements. Maintain organized records of supplier interactions, issues, and resolutions. Support onboarding of new suppliers or services, coordinating setup and internal communication.
  • Relocation Program Support:
    Coordinate relocation activities from initiation through completion, serving as the primary contact for relocating employees. Provide guidance on program benefits, timelines, and expectations. Track all relocation milestones, documentation, and expense alignment. Partner with HR and hiring managers on new hire and internal transfer relocations. Monitor relocation expenses and ensure alignment with policy and budget expectations.
  • Financial Management & Reconciliation:
    Manage travel and relocation budgets by tracking expenses, monitoring trends, and identifying variances. Perform monthly reconciliations of travel and relocation expenses, ensuring accurate coding and alignment with financial reporting. Partner with Finance to support accruals, forecasting, and month‑end close activities. Review invoices for accuracy before payment. Identify and implement cost‑saving opportunities and spend optimization. Partner with Tax and HR on relocation‑related tax implications, ensuring proper reporting and documentation.

    Ensure relocation expenses are categorized in alignment with company policy and regulatory requirements.
  • Reporting & Program Support:
    Maintain travel and relocation trackers, reports, and dashboards. Support data collection for budgeting, forecasting, and supplier performance reviews. Own the traveler experience, identify friction points, and improve processes, tools, and communication.
  • Policy & Compliance:
    Ensure adherence to company travel and relocation policies. Identify opportunities to improve clarity, compliance, and user experience within existing processes. Support communication and rollout of policy updates or program changes.
Qualifications
  • Education:

    Travel/Tourism education preferred.
  • Experience:

    4+ years’ experience in corporate travel operations (required); 1+ years’ experience in relocation support (preferred). Experience in corporate travel operations required. Experience directly supporting executive travel preferred. Experience working with a travel management company or relocation provider preferred.
  • Technical

    Skills:

    Proficiency in Microsoft Office tools; experience with travel or expense systems is a plus.
  • Other

    Skills:

    Strong organizational skills to manage multiple requests and priorities; excellent communication skills with a customer‑service mindset; detail‑oriented with a focus on accuracy and follow‑through; ability to navigate ambiguity and resolve issues proactively; ability to operate in a fast‑paced, service‑driven environment.
  • Must be comfortable interfacing with Signet’s Senior Executives and their administrative staff.
