Position: Required Executive Secretary

Summary:

The Executive Secretary (Bilingual – English & Arabic) plays a critical role in supporting senior management within a dynamic corporate environment in the UAE. This position ensures the seamless operation of executive office functions by managing complex schedules, coordinating high-level communications, and maintaining confidentiality and accuracy across all administrative tasks. The ideal candidate will be a highly organized, bilingual professional with proven experience in executive support, capable of navigating fast-paced environments with precision and discretion.

Their contributions are essential to maintaining operational efficiency and professional standards at the executive level.

Responsibilities:

  • Manage executive calendars, appointments, meetings, and travel arrangements
  • Prepare reports, presentations, official letters, and meeting minutes
  • Handle confidential documents and maintain organized filing systems
  • Coordinate with clients, suppliers, and internal departments professionally
  • Screen calls, emails, and correspondence on behalf of management
  • Monitor deadlines, follow up on pending tasks, and ensure smooth workflow
  • Support day-to-day office administration and executive coordination
  • Maintain accurate records, documentation, and office databases
Requirements

Requirements:

  • Fluency in both English and Arabic (written and verbal) is mandatory
  • Proven experience as an Executive Secretary, Executive Assistant, or Administrative Coordinator
  • Strong communication and interpersonal skills
  • Excellent organizational and multitasking abilities
  • Professional approach with attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to work independently and manage confidential information with discretion

Preferred Qualifications:

  • Experience in a corporate or multinational environment
  • Prior UAE or GCC experience is advantageous
  • Strong time-management and coordination skills
