Office Administrator/ Coordinator
Gene Fab is seeking an organized, customer service-minded Office Coordinator to support office and administrative operations at our Alameda HQ. This is a part-time, contract role that reports to the Director of People Operations.
The ideal candidate will be able to work M-F, 9am-1pm in Alameda (role is not eligible for remote work).
Responsibilities- Serve as the main point of contact for dailyofficeoperations, inclusive of:
- Maintaining kitchen, breakroom, and supply inventory
- Handling weekly ordering and restocking common areas
- Managing inventory of Company branded swag, promotional products, etc.
- Ensure conference rooms are organized, properly equipped with AV equipment, and prepared for key meetings.
- AssistG&Ateam(primarily CEO, COO, and Director of People) with administrative tasks, scheduling, documentorganizationand retention, and expense report processing.
- Support onboardinglogisticsfor new hires, including desk setup, badge provisioning, and welcome package preparation.
- Assistwithinterview scheduling, onsite interviewfacilitationand candidate experience
- Plan and execute internal team events, lunches, company celebrations, andoff-sites.
- Support Commercial team with trade show and travel logistics
- Provide support to onsite meetings
- Experience:
2+ years of administrative, office coordination, or site operations experience. - T echnical
Skills:
Proficiency with Microsoft Office 365; experience with workplace communication tools (Slack, Teams) and familiarity with AI efficiency tools and platforms - Communication:
Excellent verbal and written communication skills with a customer-service-oriented mindset. - Organization:
Strong multi-tasking and problem-solving skills with high attention to detail. - Physical Requirements:
Ability to lift up to 25 lbs (packages, paper reams, event supplies) and manage light room reconfigurations. - Education:
High school diploma or equivalent required;
Associate’s or Bachelor’s degree preferred.
$25 - $35 an hour
