Job DescriptionThe External and Government Affairs Coordinator will work with and provide support to the External and Government Affairs team, and provide specific support to other departments on shared projects and initiatives. The Coordinator will manage and facilitate a wide range of administrative activities, including scheduling meetings, coordinating travel arrangements, and supporting departmental initiatives. The position plays a critical role in facilitating effective coordination between internal departments, assisting with maintaining and leveraging strategic relationships with external stakeholders.
The primary focus of engagements will center on regional priorities, projects, and initiatives, but may extend to state, federal, and international topics when appropriate. Applicants must have excellent organizational and communication skills, ability to work independently on projects from conception to completion, and must be able to work under pressure to handle a variety of activities and confidential matters with discretion.
This position may be based at NANA's Corporate Office in Kotzebue, AK, or remotely from any of the NANA villages within the NANA Region, subject to candidate qualifications and company approval.
Responsibilities- Represent NANA in a manner consistent with the Iñupiat Iḷitqusiat.
- Answer and direct incoming department calls in a courteous and professional manner.
- Return missed calls and follow up on voicemail messages as needed.
- Monitor and respond to departmental emails, addressing inquiries or forwarding them to appropriate team members.
- Cultivate and maintain strong and constructive relationships with regional and local entities, agencies, and leaders.
- Monitor, coordinate, and assist with preparation for local and regional activities, including tribal and city council meetings, community meetings, regional entity meetings, and public hearings.
- Organize and maintain contact lists, meeting and event schedules, and other pertinent information necessary to maintain meaningful and productive relationships with external partners such as Tribal and City offices in the NANA region, regional organizations, industry partners, vendors, etc.
- Lead and/or provide meeting or event support, working with individuals or external organizations to plan and schedule events or meetings. This includes arranging travel, lodging, IT support, audio–video needs, meeting rooms, developing and gathering materials, etc.
- Organize and maintain database and filing system for the department.
- May have purchasing authority within established budgetary guidelines.
- Prepare expense reports, codes invoices, check requisitions or other requests for approval, track changes, and ensure adjustments are made as required. Work collaboratively with Accounting and other departments to process invoices.
- Lead or participate in various projects or regional efforts as assigned.
- Assist with policy research, monitoring, and analysis as needed.
- Handle confidential information in a discreet, professional manner.
- Take responsibility and initiate independent action in leading or assisting with assigned projects.
- Other related duties may also be assigned.
Coordinator II: A high school education (or GED) and at least three years of directly related experience showing a working knowledge of the assigned function and an ability to work under general supervision. Proficient usage of a particular computer program may also be required.
Coordinator III: A high school education (or GED) and at least five years of directly related experience. Certain situations may require advanced education such as an Associate of Arts or equivalent formal certification. Certain positions may require proficient to advanced skill level in specific computer software or hardware programs.
- Valid driver's license with a driving record that meets NANA's insurance requirements.
- Proficient in Microsoft Office, including Word, Excel, PowerPoint and Outlook.
- Ability to communicate effectively, both orally and in writing.
