Equipment Coordinator
The Equipment Coordinator is the main point of contact for all temporary equipment & field-based passenger vehicles. Their primary function is to know what equipment is on lease, who is responsible for its operation and maintenance and keeping that information up to date in the Company Equipment tracking database.
Essential Duties
- Single point of contact for all temporary equipment and passenger vehicles unless listed as out of scope in the temporary Equipment and Vehicle Procedure.
- Reports to field people and camps logistics supervisor.
- Maintain accurate database including equipment specs, assigned user/operator, location of use and planned period of deployment.
- Ensure equipment is fit for purpose.
- Know and communicate with the preferred vendors the Company has contracts with.
- Ensure equipment is requested with proper documentation including network codes and appropriate approvals.
- Manage project based Pool trucks, (check in-check-out).
- Coordinate with Deadhorse logistics for Deadhorse based pool trucks.
- Ensure all equipment is inspected prior to deployment and upon return (will work closely with Deadhorse based logistics team).
- Document and report all damage or incidents to the People and Camps logistics supervisor.
- Manage temporary equipment & passenger vehicles.
- Ensure requestor provides plans for operational oversite and daily equipment checks.
- Ensure ancillary materials are planned by requestor prior to deployment
- Scheduled repair plans or equipment chang-outs.
- Stage appropriate amount of equipment for backup of critical equipment.
- Track equipment accessories like containment and heater trunks, attachments.
- Report any neglect/misuse.
- Prioritize repair schedules based on needs.
- Use Samsara & OnStar to monitor use/hours/maintenance.
- Schedule equipment for periodic service with appropriate vendors mechanics.
- Track repair schedules.
- Oversee & coordinate multiple activities simultaneously and perform under pressure.
- Identify underutilized and undependable vehicles and equipment.
- Support AES zero-incident safety culture and assume personal accountability and responsibility for safe work practices in all projects, activities, and operations.
- Other duties will be assigned to this position as needed.
Required Experience
- 2+ years of experience in software-based fleet management, construction project management or logistics; preferably in oil and gas industry
- Experience in Excel & software-based equipment or fleet management systems
- Proficiency in written & oral communications
- Deep understanding of construction equipment and needed accessories for various types of equipment
- Operational knowledge of common temporary rental equipment (heaters, light plants, bull rails, generators, man lifts, forklifts, loaders, envirovacs)
- Thorough understanding of construction support equipment, power systems, north slope environmental & permit constraints as well as construction and drill site demands, field dispatching, and coordination with users
- Proficiency with computer applications, including Microsoft Excel, Word, and Outlook.
- Strong analytical and organizational skills
- Displays tactful, mature, and professional demeanor with well-developed communication and interpersonal skills
- Able to support the larger team and activities as needed even if considered out of scope
Preferred Experience
- Experience in Alaska and/or Arctic environments
