Job Summary
Provides administrative support to the President and CEO, Executive Staff, and Board of Directors. Serves as staff member ombudsman with an emphasis on new staff onboarding.
Job Duties and Responsibilities- Communicate and advise newly hired staff members at least twice a week from the time they accept a job offer to successful completion of 90 days employment, advising both staff and management on progress.
- Serve as backup receptionist, as needed.
- Assist with board meetings and communication.
- Assist the President and CEO with any special projects, including scheduling, data gathering and research, and communication.
- Assist the Director of Marketing and Development with events, fundraising, social media engagement, and employee recognition.
- Serve on the Health and Safety Committee and assist with site inspections.
- Collect, file and report on minutes for monthly staff meeting for all service locations.
- Assist with various audits and compliance reviews, including CARF.
- Assist the Director of Workforce Development and Family Support with resource fairs and other events.
- Attend and keep minutes of Executive Staff meetings.
- Answer inquiries and provide information to the public, customers, visitors and other interested parties regarding activities and services conducted by Easterseals and provide information related to the location of departments, offices and employees within the organization.
- Follow Health Insurance Portability and Accountability Act (HIPAA) privacy rule to ensure protected health information is secure.
- Maintain knowledge and understanding of Easterseals Southern Georgia policies and procedures.
- All other duties as assigned.
- Ability to bend, stoop and physically maneuver to organize documents and files.
- Ability to lift, push and pull a minimum of 50 pounds.
- Use of technology and office equipment.
- Excellent Interpersonal skills.
- Flexibility to work occasional evenings and weekends.
- World class time management and organizational skills.
- Excellent communication skills, both written and oral.
- High School Diploma or equivalent.
- 3 years of experience in customer facing position, preferably in an office setting.
- Possess a valid driver's license and be insurable.
