Job summary:
The attendance clerk is responsible for providing comprehensive clerical and administrative support to ensure the accurate recording, monitoring, and reporting of student attendance data. This position plays a critical role in supporting daily school operations by maintaining student records, assisting with enrollment and withdrawal processes, and ensuring compliance with district, state, and federal attendance policies. The attendance clerk serves as a key point of contact for students, parents, staff, and the community, delivering professional customer service while handling sensitive and confidential information with discretion.
This role requires strong organizational, communication, and data management skills, as well as the ability to work independently with minimal supervision while prioritizing multiple tasks in a fast-paced school environment.
Minimum qualifications:
* diploma in business office technology or equivalent;
* minimum of two (2) years of clerical experience in a school office or related setting;
* experience handling sensitive and confidential student information;
* proficiency in microsoft office suite and/or google workspace;
* knowledge of student information systems is preferred;
* such alternatives to the above qualifications as the board may find appropriate.
Skills and abilities:
* strong verbal and written communication skills with the ability to interact professionally with diverse groups;
* excellent organizational and time-management skills with attention to detail;
* ability to collect, sort, prepare, scan, and maintain documents for efficient recordkeeping;
* ability to maintain accurate, up-to-date, and confidential records in compliance with policies;
* ability to multitask and prioritize duties in a fast-paced environment;
* working knowledge of office equipment and standard clerical procedures;
* ability to work independently and as part of a team.
Performance responsibilities:
* greets and interacts effectively with students, parents, staff, and the general public using professionalism, tact, and good judgment;
* provides clerical and secretarial support to school administrators and staff as assigned;
* receives, screens, and routes incoming telephone calls; takes accurate messages and provides information when appropriate;
* maintains accurate daily attendance records, including data entry, verification, and reporting;
* follows up on attendance discrepancies and communicates with parents/guardians regarding absences and documentation;
* enrolls new students, prepares cumulative folders, and requests records from previous schools;
* processes student withdrawals and transfers in accordance with district procedures;
* inputs and updates student information for transfers within and outside the school system;
* maintains and organizes student discipline records and related documentation;
* assists with the preparation, processing, and distribution of report cards and other student records;
* supports teachers and staff by assisting with instructional materials and clerical tasks as needed;
* maintains filing systems (electronic and paper) to ensure accessibility and compliance;
* assists in ensuring smooth and efficient front office operations by providing clerical support where needed;
* adheres to all district policies, procedures, and confidentiality requirements (including ferpa guidelines);
* performs other duties and responsibilities as assigned by the supervisor.
Work environment/physical requirements:
* ability to stand, walk, and move throughout the classroom for extended periods of time;
* ability to occasionally lift or move instructional materials and classroom supplies (up to approximately 25 pounds);
* ability to bend, stoop, kneel, and assist young students as needed;
* work is performed primarily in a classroom environment with moderate noise levels typical of a school setting;
* requires frequent interaction with students, staff, and families throughout the school…
