Job Overview
The purpose of this classification is to perform routine clerical tasks in support of municipal court operations. Performs routine/standardized clerical tasks in support of municipal court operations.
Prepares court dockets and a variety of reports, warrants, summons, citations, logs, display records, and related documents; files for reference and/or forwards to appropriate individual.
Records dispositions on dockets and enters data into computerized database; enters warrants into database; verifies accuracy and updates.
Answers telephone and responds to public complaints/inquires; provides information or refers to appropriate personnel.
Schedules trial dates/maintains court calendar; maintains continuing cases for attorneys and prepares related summons; assists attorneys with transfers.
Enters receipts and fine payments into computer; posts receipts on court docket; ensures payments.
Notifies bonding organization of court dates and defendants who failed to appear.
Files and maintains a variety of reports, certificates, DUI copies, and related records; prepares files for purging; researches files as directed.
Prepares driver histories; verifies and records tag and insurance information; retrieves and records blood alcohol results.
Performs routine filing, copying, faxing, and related office tasks; mails documents as appropriate.
Consults with the records division, police department, treasury department, and court officials as needed to discuss problems, provide information, and receive advice/direction.
Prepares a variety of documents which may include correspondence, memoranda, reports, certificates, warrants, court orders, questionnaires, confirmations, forms, notices; forwards to appropriate individual/department; issue notices, pay slips, or summons as appropriate.
Receives a variety of documents; reviews, stamps, verifies accuracy, processes, and notifies appropriate individual or department; ensures appropriate transfer of cases.
Operates a computer to enter, retrieve, review or modify data in computer database; verifies accuracy of entered data; makes corrections as appropriate; uses knowledge of various software programs to operate a computer in an effective and efficient manner.
Compares and/or monitors various administrative and/or statistical data pertaining to departmental operations; performs research as needed; makes applicable calculations; prepares or generates reports; maintains records.
Additional FunctionsPerforms duties of Clerk of Court in absence of Clerk.
Assists the Judge and court personnel when needed.
Performs other related duties as required.
QualificationsHigh school diploma or GED required; additionally, two (2) years clerical experience and/or training involving court/police functions; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
Must have GCIC certification. Must be able to type at least 50 wpm.

Requires the ability to utilize a wide variety of reference and descriptive data and information.
Mathematical Aptitude:
Requires the ability to perform addition, subtraction, multiplication and division. May include counting, recording of counts, and basic measuring.
Functional Reasoning:
Requires the ability to apply principles of rational systems; to interpret instructions furnished in written, oral, diagrammatic, or schedule form; and to exercise independent judgment to adopt or modify methods and standards to meet variations in assigned objectives.
Situational Reasoning:
Requires the ability to exercise judgment, decisiveness and creativity in situations involving evaluation of information against measurable or verifiable criteria.
Physical Ability:
Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or workstation.
Sensory Requirements:
Some tasks require the ability to perceive and discriminate sounds and visual cues or signals. Some tasks require oral communications ability.
Environmental Factors:
Essential functions are regularly performed without exposure to adverse environmental conditions.
