Marketing And Communications Administrative Assistant I
The Marketing and Communications Administrative Assistant I provides comprehensive administrative and operational support to the Office of Marketing and Communications. This position serves as a primary point of contact for faculty, staff, students, vendors, and external stakeholders, ensuring efficient office operations and exceptional customer service. Responsibilities include performing a variety of administrative duties, coordinating communications, maintaining records and files, scheduling meetings, assisting with event planning and coordination, and supporting departmental projects and initiatives.
General Office Duties:
Answering phones, greeting visitors, managing mail, ordering supplies, and maintaining office equipment. Document Preparation:
Creating, proofreading, and editing correspondence, reports, and other documents. Record Keeping:
Maintaining files, databases, and records related to administrative, financial, or academic matters. Calendar Management:
Scheduling appointments, meetings, and travel arrangements for staff. Event Coordination:
Assisting with the planning and execution of events, such as conferences, workshops, or social gatherings. Financial Tasks:
Processing invoices, expense reports, and purchase orders; assisting with budget reconciliations. Communication and Liaison:
Internal and External Communication:
Serving as a point of contact for students, faculty, staff, and external stakeholders. Disseminating Information:
Communicating important information and updates to relevant parties. Perform other duties as assigned by the manager.
Knowledge of computer software programs such as Banner and Microsoft Office. Knowledge of general office practices and procedures. Knowledge of University policies and procedures. Skilled in customer service. Skilled in organization and time management. Skilled in written and oral communication. Ability to maintain confidentiality. Ability to work independently and collaboratively. Ability to multitask, work independently, prioritize and complete tasks in a timely manner.
