Job Summary

The Work Control Coordinator is responsible for receiving, processing, prioritizing, scheduling, and monitoring maintenance and service requests for university facilities. This position serves as the primary liaison between campus customers, Facilities Management staff, contractors, and departmental leadership to ensure timely and effective completion of work orders. The coordinator maintains the computerized maintenance management system (CMMS), tracks work performance, and supports operational planning and reporting.

Responsibilities
  • Receive, review, prioritize, and process maintenance and service requests from university departments, faculty, staff, students, and campus stakeholders.
  • Create and assign work orders through the Computerized Maintenance Management System (CMMS).
  • Coordinate daily, weekly, and long-range scheduling of maintenance, repair, and preventive maintenance activities.
  • Dispatch work orders to appropriate trades personnel, contractors, and facilities staff.
  • Monitor work order status and ensure timely completion of assigned tasks.
  • Communicate with customers regarding work order progress, scheduling, delays, and completion.
  • Evaluate service requests and determine priorities based on safety, operational needs, and institutional impact.
  • Coordinate emergency maintenance responses and urgent repair requests.
  • Maintain accurate records related to labor, materials, equipment usage, and work order history.
  • Generate reports and analyze key performance indicators, including backlog, response times, and workforce utilization.
  • Assist in planning preventive maintenance programs and facility maintenance schedules.
  • Support facilities projects by coordinating work activities among multiple departments and vendors.
  • Ensure compliance with university policies, safety regulations, and departmental procedures.
  • Monitor contractor activities and maintain documentation related to contracted services.
  • Recommend process improvements to enhance efficiency, customer service, and operational effectiveness.
  • Performs other duties as assigned by the supervisor.
Required Qualifications

High school diploma or GED;

Three (3) years of experience in facilities maintenance, work management, customer service, operations coordination, or a related field.

Experience using computerized maintenance management systems (CMMS) or work order management software.

Proficiency with Microsoft Office Suite, particularly Excel, Word, and Outlook.

Strong organizational and administrative skills.

Preferred Qualifications

Associate degree in Facilities Management, Business Administration, Construction Management, or related field.

Experience in a higher education, healthcare, government, or large institutional environment.

Knowledge of building systems, maintenance operations, and construction practices.

Experience with preventive maintenance planning and asset management programs.
