Position DescriptionClassification: FLSA non-exempt, 16 hrs/week
Reports to:
Regional Library Director
This position is responsible for a variety of clerical and secretarial tasks at the Headquarters location of Statesboro Regional Public Libraries. This position works under minimal direct supervision and requires excellent organization skills and attention to detail.
Essential Position Functions- Assists Regional Library Director with board meetings, communicates with board members, and compiles meeting notes.
- Assists with maintaining and updating administration files.
- Assists with personnel matters including receipt and acknowledgement of applications for Regional positions.
- Assists other Regional staff with projects, inventory, program preparation, or other various tasks, as needed.
- Participates in Regional and local planning and goal-setting.
- Prepares or assists with preparation of reports and/or surveys.
- Reviews and proofreads reports, flyers, etc.
- Assists with arranging appointments and scheduling interviews for Regional positions.
- Acts as receptionist when needed, including answering calls, taking messages and handling
- Stays current with SRPL and PINES policies and procedures.
- Fosters a climate of participation, creativity, and teamwork with and among staff.
- Attends staff development workshops and other training as needed.
- Performs other related job duties as assigned.
- High School degree or equivalent
- Proficient in Microsoft Office/Microsoft 365
- Agree to submit to a background check and have results that meet the expectations of the employer
- Must be able to work independently and deal responsibly with confidential records and matters.
- Attention to detail; ability to follow direction and complete assignments.
- Strong oral and written communication skills.
- Professional & pleasant telephone manner.
- Flexibility: ability to return to interrupted tasks and prioritize needs of different departments.
- Ability to use tact and diplomacy in working with staff, board members, and the public.
- Able to follow established procedures, and to recommend or implement new procedures.
- Ability to maintain a satisfactory (good/average) or higher rating in annual performance evaluation.
- Ability to set goals and meet deadlines.
- Ability to meet the work schedule of the job.
- Experience in an office setting.
- Ability to sit or stand and use computer for extended periods and operate standard office equipment, daily.
- Ability to lift and move up to forty (40) pounds and push one hundred (100) pounds, occasionally.
The Headquarters Assistant is trained, supervised, and evaluated by the Regional Library Director.
Working Conditions- Majority of work performed in general office and library environment.
- May include attendance at board meetings.
- Requires periodic participation and attendance at events and training.
