Under direction of the System Director, HR, coordinator will be responsible for completing assigned tasks in human resources for Phoebe Putney Health System and the entire enterprise. These tasks will include but are not limited to: general employee questions, data entry of employee data, maintenance of employee data, the processing of employee retention bonuses, Department of Labor Separation Notices, internal transfers, and entering employee changes in Workday in a timely manner.

This role will also be responsible for organizing employee files, ordering supplies, general clerical and ensuring personal integrity of human resource activities.

QUALIFICATIONS

Education and Experience
  • High School Diploma or GED Required
  • Associate's Degree in Related Field Preferred
Work Experience
  • 3 years of Customer service, service excellence, and/or training; development area. Required
  • 1 years Human Resources-related experience. Preferred

Essential Functions
  • Assures data is correctly entered into Workday in a timely fashion.
  • Generates HR reports for management and Corporate HR in a timely manner.
  • Keys new-hire data into Workday and makes changes to employee records as necessary.
  • Provides consistent presence to employees/contractors/volunteers/students, providing excellent customer service.
  • Ensures HR visitors are greeted and provided excellent customer service.
  • Provides a positive referral to other support personnel to ensure continuity of service.
  • Review employee eligibility for retention bonuses according to company policy and contractual agreements.
  • Collect and verify necessary documentation to support bonus qualification and approval.
  • Coordinate with key departments to ensure accurate and timely processing of payments.
  • Maintain records of retention bonus transactions and update employee files accordingly.
  • Resolve any discrepancies or issues related to retention bonus processing.
  • Review all separation notices before mailing them to the impacted employees.
  • Gather and verify employment records, pay history, and separation details to support the information provided on the notice.
  • Respond to Department of Labor inquiries or requests for additional information in a timely manner.
  • Ensure that all separation notices are filed, logged, and stored according to company policy and regulatory requirements.
  • Track deadlines related to separation notices and maintain accurate records of submissions and correspondence.
  • Review and confirm eligibility of employees requesting internal transfers in accordance with company policies.
  • Update Workday to reflect position changes, new reporting lines, and other transfer-related details.
  • Ensure accurate and timely processing of payroll, benefits, and access rights associated with the transfer.
