The Inventory Maintenance Specialist is responsible for managing, maintaining, and controlling the Housing Authority's inventory of maintenance materials, supplies, tools, equipment, and related assets. This position ensures that maintenance staff have the necessary materials available to complete work orders efficiently while maintaining accurate inventory records, controlling costs, and minimizing waste.
The Inventory Maintenance Specialist works closely with maintenance personnel, property management, procurement, vendors, and administrative staff to support the timely and cost-effective operation of Housing Authority properties.
Responsibilities:- Receive, inspect, organize, and properly store maintenance supplies, materials, tools, parts, and equipment.
- Maintain accurate inventory records, including quantities, locations, usage, receipts, and issues.
- Monitor inventory levels and establish appropriate minimum and maximum stock levels for commonly used maintenance items.
- Issue materials, supplies, tools, and equipment to authorized employees and maintain appropriate records of distribution.
- Conduct routine physical inventory counts and reconcile discrepancies between physical inventory and inventory records.
- Identify obsolete, damaged, excess, or slow-moving inventory and make recommendations regarding disposal, redistribution, or replacement.
- Prepare purchase requests and requisitions for maintenance supplies based on inventory levels and anticipated needs.
- Assist with obtaining price quotes and coordinating purchases in accordance with Housing Authority procurement policies.
- Receive deliveries and verify that orders conform to purchase orders, invoices, quantities, and specifications.
- Maintain an orderly, clean, and safe warehouse, storage area, and tool/equipment room.
- Properly label and organize inventory to facilitate efficient retrieval and prevent loss or damage.
- Track the assignment, condition, maintenance, and return of tools and equipment.
- Maintain records related to equipment, warranties, serial numbers, and other applicable asset information.
- Coordinate with maintenance supervisors to anticipate material requirements associated with preventive maintenance, unit turns, renovations, and routine repairs.
- Monitor inventory usage and identify opportunities to reduce costs and improve purchasing efficiency.
- Ensure that materials and supplies are stored in accordance with manufacturer recommendations and applicable safety requirements.
- Follow Housing Authority policies and procedures, including purchasing, inventory control, safety, and asset management requirements.
- Operate computers, inventory management systems, spreadsheets, and other software necessary to maintain accurate records.
- Prepare inventory reports and provide information to management regarding inventory levels, expenditures, shortages, and trends.
- Assist with periodic audits and documentation reviews.
- Perform other duties as assigned.
- High school graduate or GED
- Two years of experience in inventory control, warehouse operations, maintenance supply management, purchasing, facilities operations, or a related field.
- Basic knowledge of inventory management practices and recordkeeping.
- Basic computer skills, including Microsoft Office or comparable software.
- Ability to maintain accurate records and perform basic mathematical calculations.
- Establish and maintain effective working relationships with other employees and residents.
- Must have excellent communication and customer service skills.
- Ability to work independently and objectively and be self-motivated.
- Ability to work successfully with diverse groups and interests.
- Ability to evaluate data and maintain records in an organized manner.
- Ability to maintain professionalism under pressure and tensions related to multiple demands.
- Ability to analyze, review, and complete reports within specific deadlines.
