Overview

We are seeking an Office Manager who will support our client with the day-to-day administrative duties required to keep operations running smoothly. The ideal candidate for this role will have experience supporting both high-level executives and providing facility-wide support in a project management office.

  • This is an exempt position. Salary commensurate with experience ($55,000 - $78,000)
Duties
  • Provide administrative support for up to 150 staff that may occupy the project office
  • Manage reception for visitors and guests
  • Monitor and manage office supplies inventory, replenishing and restocking office and kitchen supplies as necessary
  • Maintain all refreshment equipment to serviceable and clean conditions, notifying vendors when service is needed or when supplies are needed
  • Maintain and keep all legal postings up to date
  • Implement and maintain adherence to health and safety code policies and procedures, as defined by Deloitte, client, and building management
  • Enforce standard office security procedures and security badging access, including performing related duties as assigned
  • Address and triage building maintenance and/or technology-related requests
  • Coordinate with the PMO to disseminate project-wide announcements to the project team related to project facility, health, and safety
  • Manage incoming and outgoing mail and packages
  • Manage the office calendar and, if needed, coordinate meetings for project leadership (3-5 Partners and Managing Directors) and conferences, and may attend department meetings
  • Order and facilitate catered meals for office staff, as requested by project leadership
  • Process expenditures per firm policies when requested by project leadership
  • Coordinate and organize logistics for office functions, including meetings, conferences, entertainment, receptions, and dinner arrangements with minimal direction from project leaders
  • Develop and maintain an efficient filing system for managing customer needs and requirements, including classified and confidential files
  • Build relationships and leverage network across the Deloitte firms to execute on behalf of executive clients
Mandatory Qualifications
  • 5+ years of experience as an administrative assistant supporting high level executives or c-suite executives
  • 2+ years of experience with MS Outlook, Word, Excel, Power Point
  • 2+ years of experience with enterprise office systems, videoconferencing platforms (e.g., Zoom, Microsoft Teams) and technology for troubleshooting, and facility management tools
  • Ability to coordinate complex meeting logistics across time zones, book facilities, anticipate conflicts, and resolve them proactively
  • Familiarity with expense reporting tools (e.g., Ariba) and procurement/order management systems commonly used in large firms
  • Experience liaising with external suppliers, cleaning, catering, or maintenance vendors, and building management
  • Adept at diffusing tension, mediating minor disputes, and communicating effectively with diverse stakeholders
  • Excellent interpersonal and communication skills with the ability to provide exceptional customer services to both Deloitte staff and clients
  • Ability to anticipate problems and take initiative
  • Ability to prioritize and multi-task; excellent time management
  • Ability to work well in a team environment
  • Proactively identifies and addresses office needs before they escalate into issues
  • Understand technical instructions or new software features and quickly masters them to support evolving office demands
  • Comfortable adapting to new procedures, sudden schedule changes, or rapidly evolving project requirements
  • Sensitive to the needs of a diverse, cross-functional team and able to communicate respectfully across all demographics
Desirable Qualifications
  • Associates degree or higher in related field
