Duties Description The Office of Financial Administration is responsible for overall agency fiscal management and administering the procurement process. As the Department carries out key initiatives to transform the way services are delivered to partner agencies and to the public, this position will play an important role in ensuring the success of these modernization efforts.
The Administrative Assistant 1 / Trainee 1 / Trainee 2 duties in Office of Financial Administration will include but are not limited to the following:
* Assisting with organizing and coordinating administrative activities of the Office of Financial Administration.
* Providing support for Building Administration and fleet management assignments as well as the Division's shared mailboxes.
* Serving as backup to the Travel Coordinator reviewing expense reports and assisting program staff with travel related issues.
* Assisting with preparing and editing draft correspondence and other documents.
* Assisting in establishing and enhancing office procedures; maintaining efficient workflow; tracking and coordinating assignments.
* Utilizing information technology applications such as email, databases, spreadsheets, and word processing.
* Creating, maintaining, and entering information into Excel spreadsheets and Civil Service's proprietary databases.
* Maintaining scheduling and event calendars; scheduling and confirming appointments for the Director and Assistant Director of Financial Administration.
* Reviewing work completed to check for correct spelling and grammar; ensuring office format policies are followed and recommending revisions.
* Providing additional administrative support as needed.
Minimum Qualifications NY HELPS:
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in an NY HELPS title, employees may take part in any promotion examination for which they are qualified.
