Job Summary
We are seeking a detail-oriented and highly organized Virtual Project Assistant Manager to support project planning, execution, and coordination. The ideal candidate will assist with administrative and project management tasks, communicate with team members and clients, monitor project progress, and help ensure deadlines and objectives are met.
Key Responsibilities- Assist project managers in planning, organizing, and executing projects.
- Coordinate schedules, meetings, and project timelines.
- Track project milestones, deliverables, and deadlines.
- Prepare meeting agendas, take minutes, and distribute action items.
- Communicate with clients, vendors, and internal team members.
- Maintain project documentation, reports, and records.
- Monitor project budgets and expenses, when applicable.
- Update project management software (e.g., Asana, Trello, , Click Up, Jira).
- Identify potential project risks and escalte issues when necessary.
- Support onboarding and coordination of team members.
- Generate status reports and provide regular project updates.
- Perform general administrative tasks to support project operations.
- Experienced in project coordination, virtual assistance, or administrative support.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office Suite and Google Workspace.
- Experience using project management tools such as Asana, Trello, Click Up, , or Jira.
- Ability to manage multiple projects simultaneously.
- Strong attention to detail and problem-solving abilities.
- Ability to work independently in a remote environment.
- Knowledge of project management methodologies (Agile, Scrum, or Waterfall).
- Experience with CRM systems and collaboration tools such as Slack, Microsoft Teams, or Zoom.
- Basic budgeting and reporting experience.
- Project management certification (CAPM, PMP, or Scrum certification) is a plus.
