Schedule: 9:00 AM–5:00 PM or 10:00 AM–6:00 PM
We are seeking a highly organized, professional, and customer-focused Executive Assistant to support our leadership team while serving as a welcoming presence for new admissions and their families. This position plays a key role in providing exceptional customer service, fostering positive relationships with residents on our busy short-term rehabilitation unit, and assisting with administrative operations throughout the facility.
The ideal candidate is compassionate, detail-oriented, able to manage multiple priorities, and thrives in a fast-paced healthcare environment.
Duties & ResponsibilitiesWelcome new admissions and their families, ensuring a positive first impression.
Build and maintain strong relationships with residents, families, and visitors by providing exceptional customer service.
Assist the leadership team with daily administrative tasks, special projects, and operational support.
Maintain accurate records, spreadsheets, reports, and tracking logs.
Develop and monitor audits to track, trend, and report important operational data.
Coordinate meetings, prepare meeting materials, and maintain calendars as needed.
Answer phones, greet visitors, and respond professionally to inquiries.
Prepare correspondence, forms, presentations, and other documents.
Collaborate effectively with interdisciplinary departments to ensure smooth daily operations.
Assist with resident satisfaction initiatives and customer service follow-up.
Maintain confidentiality while handling sensitive information.
Demonstrate excellent organizational skills while managing multiple priorities in a fast-paced environment.
Support facility initiatives and perform other administrative duties as assigned.
Associate's degree required.
Previous administrative or executive support experience preferred, preferably in a healthcare setting.
Excellent computer skills, including Microsoft Office applications.
Strong organizational, communication, and interpersonal skills.
Ability to multitask, prioritize responsibilities, and meet deadlines.

Ability to work independently while functioning as part of a collaborative team.
