Duties Description The main objective of the Administrative Assistant 1 position is to provide primary receptionist and administrative support for the Music and Theatre Department.
The Administrative Assistant will support the efficient operation of the department office by performing
a wide range of administrative tasks, including correspondence, filing, calendar management, work coordination, customer service, responding to inquiries, gathering information, and compiling reports. The Administrative Assistant will establish office procedures, design filing systems, implement policies and procedures, maintain efficient workflow, resolve day-to-day operational issues, respond to phone and electronic inquiries, sort paper and electronic mail, organize and follow up on projects, and coordinate the flow of information by serving as a liaison to offices throughout the University.
Additionally, the Administrative Assistant will assist with and process all academic, facilities, administrative, personnel, and budgetary transactions for the department.
The Administrative Assistant assists faculty, staff and the Department Chair in drafting, processing, and monitoring transactions related to budget, academics, facilities, and personnel.
The Administrative Assistant 1 reports directly to the Department Chair.
Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).
For the duration of the NY HELPS Program, this title maybe filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
