Equipment Administrator

Harrison & Burrowes Bridge Constructors is seeking a highly organized and detail-oriented Equipment Administrator to support our fleet and equipment operations. The Equipment Administrator plays a vital role in ensuring our fleet, equipment, and transportation programs remain organized, compliant, and operating efficiently. This position serves as the central point of coordination for fleet documentation, registrations, permits, insurance administration, regulatory compliance, and equipment database management while providing administrative support to the Equipment Department.

Key Responsibilities:

  • Process vehicle registrations, titles, permits, and license renewals.
  • Maintain accurate fleet and equipment records within B2W and other company systems.
  • Add new vehicles and equipment to fleet management databases and maintain inventory records.
  • Support fleet utilization reporting and equipment tracking.
  • Administer fleet insurance, process certificates of insurance (COIs), manage renewals, and coordinate insurance claims.
  • Maintain driver qualification files and New York State LENS records to ensure regulatory compliance.
  • Prepare documentation for audits and maintain organized compliance records.
  • Assist with payroll backup support and administrative reporting.
  • Coordinate with Equipment, Operations, Safety, Accounting, and Project Management teams to support fleet operations.
  • Ensure accurate recordkeeping and continuous improvement of fleet administration processes.

Position Requirements:

  • 1-3 years of experience in fleet administration, equipment administration, transportation compliance, or a related administrative role.
  • Experience with B2W or similar fleet management software is preferred.
  • Proficiency in Microsoft Office, including Excel, Word, and Outlook.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Excellent communication and problem-solving skills.
  • Ability to work independently while collaborating effectively across multiple departments.
