Responsibilities

Are you someone who enjoys supporting a team, staying organized, and helping operations run smoothly? We are seeking an Administrative Assistant at our residential property Capitol Green in Albany, NY to provide day-to-day administrative and operational support at our affordable multifamily community. In this role, you will support leasing, compliance, and resident services while serving as a welcoming point of contact for residents, applicants, vendors, and guests.

ESSENTIAL

JOB FUNCTIONS
  • Welcoming tenants and new applicants and guiding them through the application process.
  • Serve as a primary point of contact for residents, applicants, vendors, and visitors, creating a welcoming and professional office environment.
  • Support leasing and compliance activities by distributing application materials, assisting with interviews, and coordinating background and credit checks.
  • Assist with lease related tasks including preparing documents, supporting lease signings, and processing invoices and financial paperwork.
  • Organize and maintain applicant and resident files in both paper and electronic formats, ensuring documents are properly labeled, dated, and filed,
  • Track deadlines for certifications, renewals, and required notices, maintaining logs and notifying the team of upcoming items.
  • Support audit preparation including MORs and LIHTC file reviews by assembling file lists, pulling documentation, and confirming file order and completeness.
  • Assist with resident engagement activities including event sign-ups, room set up, refreshments, and post event clean‑up.
  • Order office supplies and maintain the lobby and work areas in an organized and presentable condition
  • Provide general administrative support to the property team as assigned.
  • Available to work on-site, Monday-Friday 8:30AM - 5PM.

Anticipated Salary Range
  • $21.00 - $22.00 / hour
  • Annual Performance Bonus
  • This position is non-exempt, meaning eligible for overtime pay

This range is provided as a general guideline and reflects what we reasonably expect to pay for this role at the time of posting. Actual compensation may vary depending on a variety of factors, including the candidate’s qualifications, geographical location, and the specific responsibilities of the role. In addition to salary, this position may be eligible for performance bonuses and a comprehensive benefits package, including health insurance, retirement plans, and paid time off.

Final compensation offers will be determined following a thorough assessment of the candidate’s background and the requirements of the position.

Qualifications
  • 1+ year of administrative, customer service, or front desk experience.
  • Experience in multifamily property management or affordable housing experience preferred.
  • Bilingual Spanish is a plus but not required
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and comfort learning property systems.
  • A proactive, problem‑solving mindset with a passion for creating great living experiences.
  • Strong customer service, verbal and written communication, and time‑management skills.
  • Demonstrated ability to maintain confidentiality and navigate sensitive issues professionally.
