duties description about the role
the receptionist will provide support to the executive division by being the first point of contact on the executive floor. Candidate must have a friendly, welcoming, and professional demeanor. Excellent communication and customer service skills are required. Responsible for greeting and announcing visitors for both the executive and legal services divisions as well as providing general administrative support to the executive division.
keyresponsibilities
- register and greet visitors to the executive and legal services offices.
- daily management of ogs webmaster shared email inbox.
- receive general phone calls from the executive chamber and provide information or forward as needed.
- open, log, track, and distribute all correspondence received by mail for the executive division.
- manage distribution of ogs webstore purchased items.
- monitor office supply inventory and communicate needs for replenishments.
- oversee conference room calendars to ensure requests are responded to and prioritized by need.
- manage mileage log and parking placards for fleet vehicles.
- submit requests for facilities maintenance through the internal agency online portal.
- work closely with and provide back-up support for the executive assistants in the executive division.
- perform other duties and projects as assigned by the supervisor.

minimum qualificationshigh school diploma or high school equivalency diploma; and three years of experience in administrative support**, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.
substitutionscertification (e.g. Iaap certified administrative professional), diploma or associate degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology can substitute for two years of experience.
note: in order to award the proper credit for work experience, resumes must include month and year for start and end dates. If any of this experience is less than full time you must indicate the average number of hours worked per week.
