Position: Administrative Assistant 1/Trainee 1/2- Albany (NYHELPS)

Administrative Assistant 1

As an Administrative Assistant 1 assigned to DOL Human Resources, you will work independently and be responsible for providing administrative and office support to the Director of Human Resources and the Employee Relations Office (ERO). Responsibilities include, but are not limited to:

  • Provide a high level of customer service to Agency Staff and outside parties
  • Draft, proofread, and edit correspondence, prepare tables, charts, and miscellaneous reports
  • Maintain scheduling and event calendars for HR Director and ERO staff
  • Coordinate and resolve day-to-day administrative support issues
  • Design and/or maintain office filing systems (paper and electronic)
  • Track and follow up on various assignments, projects or reports
  • Open, read, route and distribute incoming mail or other materials and answer routine inquiries
  • Order and distribute supplies
  • Answer telephone and give information to callers, take messages, and transfer calls to appropriate individuals
  • Schedule meetings, training and video conference calls that may involve multiple parties and locations
  • Establish work procedures or schedules and keep track of daily work
  • Other duties and projects as assigned

Minimum Qualifications

This title is part of the New York Hiring for Emergency Limited Placement Statewide program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, if they meet the below NY HELPS minimum qualifications.

Minimum Qualifications:

  • Administrative Assistant Trainee 1:
    Six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. To be advanced to the full performance level of this title you must successfully complete a set training and development program. Upon satisfactory completion of the 12-month training at the Trainee 1, you will automatically advance to Trainee 2.
  • Administrative Assistant Trainee 2:
    One year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. To be advanced to the full performance level of this title you must successfully complete a set training and development program. Upon satisfactory completion of the 12-month training as a Trainee 2 you will advance to the full level of this title without further examination.
  • Administrative Assistant 1:
    Two years of experience
    * in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.
