Responsibilities
- Day‑to‑day administrative management within the division.
- Staff supervision, planning, cost‑center management, and program and special‑event coordination.
- Collaborate with the Practice Administrator, Practice Manager, and Department/Division heads to maintain an efficient, cohesive, and productive work team.
- Ensure compliance with organizational standards and submit payroll.
- Use problem‑solving skills in the day‑to‑day management of activity in the division.
- Supervise all administrative support staff, ensure their competency, resolve conflicts, and comply with employment policies.
- Communicate with staff, manage the hiring process, provide employee development and recognition, orient new hires, and maintain employee files.
- Manage division operating expenses, including check requests, green requisitions, travel reimbursements, entering requests into the expense database, obtaining necessary signatures, tracking physician CME expenditures, and participating in monthly P&L reviews.
- Reconcile physician schedules on a monthly, weekly, and daily basis; manage off‑site time, fill available slots, and maintain schedule templates.
- Oversee the billing process: ensure all necessary billing information is obtained, work the open encounter report, generate MCPG reports, and complete billing follow‑up as requested.
- Track patient satisfaction by reviewing NRC data, ensuring quick patient throughput, and monitoring appointment availability and patient access.
- Support physician initiatives such as meaningful use and physician onboarding.
- Associate’s Degree required;
Bachelor’s Degree preferred. - 1–3 years of supervision and management experience in a medical practice.
- Ability to perform each essential duty satisfactorily.
- Proficiency in financial, analytical, communication, and personnel skills.
- Computer literate in word processing and spreadsheet programs.
- Strong interpersonal skills to foster a cohesive team.
- Equivalent combination of relevant education and experience may be substituted.
- Understanding of HIPAA and federal and New York State statutes; must adhere to a need‑to‑know policy and protect sensitive information.
