CTG is seeking to fill a Site Events Coordinator position for our client.
Location: Albany, NY Duration: 12 months
Duties:
- Coordinate and manage site visits, customer visits, employee events, meetings, and special programs from planning through completion.
- Plan and oversee event logistics, including venue selection, room setup, catering, refreshments, audiovisual needs, and event materials.
- Manage relationships with venues, vendors, caterers, and service providers.
- Develop event timelines, schedules, communication plans, and registration processes.
- Recruit, organize, and lead event planning committee members and volunteers.
- Facilitate planning meetings and ensure event objectives, milestones, and deadlines are met.
- Monitor event budgets and track expenses.
- Coordinate attendee registrations, guest communications, and on-site logistics.
- Ensure meeting rooms and event spaces are properly prepared and configured.
- Proactively identify and resolve issues to support successful event execution.
- Conduct post-event evaluations and recommend process improvements.
- Occasionally support events outside of standard business hours.

Experience:
- 2+ years of experience coordinating events, meetings, corporate functions, hospitality operations, or related activities.
- Experience leading committees, volunteers, or cross-functional teams.
- Demonstrated ability to manage multiple projects, priorities, and deadlines simultaneously.
- Experience coordinating vendors, catering, facilities, audiovisual services, and other event logistics.
- Ability to work onsite in Albany, NY and occasionally support events outside standard business hours.
Education:
- Bachelor’s degree in Event Management, Hospitality, Business Administration, Communications, or a related field preferred.
Excellent verbal and written English communication skills and the ability to interact professionally with a diverse group are required.
