The Shipping & Inventory Coordinator is responsible for coordinating and managing all inbound and outbound shipments while maintaining accurate inventory control to achieve safety, quality, cost, delivery, and compliance objectives. This role ensures timely shipment of finished goods to customers, monitors open orders, and manages finished product inventories by customer specifications, timely receiving of incoming raw materials, and period inventory counts and reconciliations.
The position requires strong organizational skills, attention to detail, and a collaborative approach are essential to support supply chain and production needs. A positive attitude and flexibility are crucial, as this role may assist with tasks outside of routine responsibilities.
- Maintain a safe work environment and comply with all government safety, health, and environmental regulations.
- Actively participate in safety meetings and maintain a clean, organized workspace.
- Prepare and manage daily shipping schedules to ensure on‑time delivery to customers.
- Verify accuracy and completeness of finished goods prior to shipment.
- Coordinate and prepare all shipping documentation (BOLs, packing lists, export paperwork) for outbound shipments.
- Schedule and confirm carrier pickups; resolve service issues promptly.
- Interface with the Import/Export Coordinator to ensure timely and accurate export bookings.
- Inspect finished products for damage or contamination prior to shipment.
- Maintain accurate inventory of finished goods by customer specifications, update ERP system daily.
- Perform weekly, monthly, and quarterly inventory counts; reconcile discrepancies promptly.
- Ensure accurate and timely inventory receipt updates in ERP system for incoming raw materials.
- Investigate and correct inventory inaccuracies; maintain data integrity in ERP.
- Track and report inventory KPIs, including accuracy, variances, and aging stock.
- Receive, review, and verify new orders; ensure timely updates in ERP system.
- Prepare daily and monthly inventory and shipping summaries for reporting purposes.
- Provide assistance to the Logistics Manager and other team members as needed.
- Communicate effectively with internal teams to resolve shipping or inventory issues promptly.
- Support continuous improvement initiatives to enhance shipping efficiency and inventory accuracy.
- Verify incoming raw material documentation meets the product requirements.
- Verify and correct any inventory inaccuracies into the ERP system.
- Demonstrate commitment to the company policies.
- Improve quality and delivery performance to ensure customer satisfaction.
- Assist in preparing documentation to ship hazardous material as well as maintaining those documents.
- Inspects finished product for damage/ contamination being brought into the facility from an outside source.
- Other duties as assigned.
High school diploma required; advanced training preferred. 4-6 years of logistics or manufacturing or equivalent experience.
Required Skills- Proficiency in Microsoft Word, Excel, & ERP systems.
- Strong oral and written communication skills.
- Attention to detail, initiative, flexibility, and ability to work independently and as a team.
- Knowledge of hazardous material shipping requirements is preferred.
- Teamwork – willingness to assist other departments (e.g., Logistics Manager, and Production team) and adapt to changing priorities.
