Job Summary:
Under the direction of the Manager, Class Schedule and Curriculum, assists with all aspects of course schedule and program map processes and production. Performs a wide range of complex, technical, and finely detailed duties related to class schedule and program map processes, production, and publication. Collaborates with college divisions and departments at multiple levels.
Required Qualifications:
Education and Experience:
Position requires an AA/AS degree in administrative assistant, business, computer science, education, or related field plus the equivalent of two years full-time related experience including the use of integrated databases, preferably Banner, OR the equivalent of four years full-time progressively responsible related experience; or an equivalent combination of related education and experience.
Knowledge and
Skills:
* Requires thorough knowledge of standard office management principles and practices, work organization and simplification, and secretarial principles and practices.
* Requires advanced level skills in English, grammar, spelling, punctuation, and mathematics.
* Requires thorough knowledge of word processing and spreadsheet applications, and database management.
* Requires strong organizational, planning, and communication skills.
* Requires knowledge of class scheduling and curriculum coordination.
* Requires thorough working knowledge of Banner.
* Must have excellent attention to detail, organizational and follow-through skills.
Abilities:
* Must be able to act independently, using judgment and discretion in carrying out the duties of the position efficiently and effectively.
* Requires the ability to plan, organize and prioritize work processes in order to meet strict timelines and schedules.
* Requires the ability to research and analyze processes, information and situations in order to correct discrepancies and/or develop solutions.
* Must be able to work successfully with managers, faculty, staff, and students to explain and resolve problems. Requires the ability to communicate complex and technical information in a manner that reflects positively on the department and college.
* Requires the ability to appropriately handle critical, sensitive, confidential or otherwise private information shared in the Administrative Offices.
Preferred Qualifications:
* Requires the ability to perform highly technical and complex secretarial and administrative duties.
* Requires the ability to communicate formally and informally with a wide range of contacts both within and outside the organization. Must be able to work respectfully with individuals of all cultures, backgrounds, perspectives, and abilities. Must be able to establish and maintain cooperative working relationships with others.
Physical Requirements and
Working Conditions:
Learned physical skill is required to perform keyboarding functions and use of office equipment. Occasional lifting, guiding, or carrying of lightweight materials or equipment may be required. Sitting for extended periods while working at a computer terminal. Must be able to communicate effectively one-on-one and as a collective team. Work is performed in an office setting.
Essential Duties:
* Supporting academic catalog, schedule, and program map projects using college provided software and training while adhering to strict timelines and ensuring data quality.
* Providing back-up coverage to processing class schedule and program map changes with timeliness and accuracy.
* Monitoring department-provided class schedule and program map information for adherence to state and college policies and processes, providing quality control of user input.
* Working with faculty, deans, and administrative assistants to help resolve class schedule and program map inconsistencies and data discrepancies.
