Job Summary

This posting is for a pooled position. Application submissions for "[POOL]" positions are accepted on an ongoing basis to ensure a continuous and ready pool of qualified candidates for immediate review when the need arises. If/when a position becomes available, the College will review applications from this pool, and interview candidates whose qualifications best match the specific opening. Applicants must reapply to the pool annually to maintain their active status in the pool.

The Program Assistant will independently lead, coordinate, and oversee work for the Community Education, Customized Training, and Corporate Training programs. Responsibilities include leading communication and coordination with instructors, operating the multidimensional evaluation process, and organizing and developing classes for the Community Education program. The assistant will also independently coordinate the operation of the non-credit registration process for Customized and Corporate Training programs and support faculty in analyzing and addressing the needs of the public, government agencies, community organizations, businesses, and industries.

Duties

• Work with the Director on creating and analyzing past, current, and future process maps for functionality and effectiveness.
• Lead planning sheet organization for all community education classes, including collaborating with coordinators and instructors to compile, create, and complete necessary documentation on a daily basis.
• Coordinate community education communication marketing and creative projects, including development, execution, and distribution of graphics, flyers, and templates for internal staff and instructor communication.
• Lead roster creation and distribution process for all community education instructors by tracking, compiling, organizing, and distributing student contact information and liability waiver completion.
• Establish contacts with the community and communicate verbally, in writing, and electronically with business clients, instructors, and students.
• Coordinate registration-focused communication with business clients and distribution of resources for instructors to teach their classes, including student contact information, enrollment data, and LBCC Gmail and Zoom access.
• Provide customer service for student needs.
• Independently coordinate the successful operation of the community education instructor and student evaluation process, including creating, collecting, analyzing, compiling, and synthesizing evaluation data and providing feedback to instructors.
• Coordinate the registration process for the corporate training and professional development program, communicating with clients to collect, track, analyze, and organize registration data for upcoming training.
• Work with the community education program assistant and director on creating new ways to analyze and track enrollment data, such as fill rate by class, category, and overall program.
• Assist with schedule production, including proofing, editing, and delivery of the schedule to surrounding community organizations and businesses.
• Lead analysis of community education classes to promote and coordinate with marketing specialists for social media production.
• Assist with research on new classes being offered around the state and nationally.
• Use the Banner system to enter data and generate reports.
• Serve as backup to other Program Assistants within the department, accessing the Banner system for needed information including student/class records and course schedules.
• Perform general receptionist duties: answer telephone, greet the public, provide information about all college classes, take messages, refer calls, explain policy and procedures, answer questions, handle routine problems and complaints, and refer significant problems to the Director.
