Position Details

The Office Support Specialist Senior and Program Specialist-DHS position is responsible for providing software support for multiple systems as well as general computer programs. This position acts as a liaison between the users and the State of Minnesota, oversees data integrity, designs, creates, runs, distributes, and follows up on reports to ensure workers data is entered timely and accurately.

Duties and Responsibilities
  • Coordinate, train, monitor, and support liaisons between State and end users for multiple State systems and programs.
  • Design, run, distribute, and track reports; communicate with supervisors on tracking requirements and reporting concerns.
  • Respond to end users’ questions daily, troubleshoot application problems, and appropriately escalates concerns.
  • Coordinate closely with end users and supervisors to ensure tasks are completed and data is entered timely to meet agency, State, and Federal statutes and guidelines.
  • Serve as liaison between State and end users for updates, application issues, and enhancement requests.
  • Serve as system administrator, performing duties such as creating and maintaining end users, managing programs and services, and updating rates and settings.
  • Oversee data integrity and delegate duties to other staff.
  • Train new workers and develop and present ongoing training for updates, enhancements, and refreshers for all end users.
  • Create, update, and alter document templates.
  • Perform a variety of core or common duties and responsibilities shared by jobs assigned to the Office Support Specialist Senior classification series, including:
    • Record information, enter data, type documents, reports, forms, narratives, or correspondence; update and maintain departmental files and records on hard copy or electronically.
  • Perform specialized or technical support functions within the office of assignment by applying rules, guidelines, and office techniques or procedures unique to the office, such as:
    • Oversee records management systems.
    • Comply with relevant data practices laws and requirements.
    • Install software applications; provide assistance and training to staff in applications; provide troubleshooting assistance in hardware or software operations.
    • Provide training and assistance to other staff, volunteers or others; orient new employees.

Must be able to work with confidential information.

    :
    • Knowledge of operations, policies and procedures of assigned department.
    • Knowledge of modern office support, accounting, office equipment operations and general business practices.
    • Ability to use computers and relevant software.
    • Effective oral and written communication skills.
    • Ability to work independently and accurately.
    • Skill in managing time and setting priorities.
    • Ability to handle a variety of typical assignments and problems under moderate supervision within standard operating procedures using moderate analytical ability.
    • Ability to maintain effective communication and relationships within the department, with other department, with other agencies and with the public.
  • Education and Experience
    :
    • One year of specialized training beyond high school.
    • Three years relevant work experience.
    • Or an equivalent combination of education, training and experience.
  • Equipment and Tools
    :
    • Office equipment and technology.
  • Physical and Mental Requirements
    :
    This job typically requires sitting, standing, walking, feeling, manual dexterity, grasping, talking, hearing, typing, and seeing. Exposure to computer keyboards and video screens. This position is generally light-duty and may require exertion up to 20 pounds of force.
  • Working Conditions
    :
    Work is performed in an office environment. Travel may be required to other facilities, meetings, training, etc.
