The Probation and Pre-Trial Support Assistant performs a wide variety of complex office routines, processes and operations requiring training, knowledge and experience in the application of specific departmental or program rules, guidelines, statutes, laws or agency procedures. This includes reviewing and assessing court orders, gathering information for cases, creating reports, entering data, editing documents, locating documents, and providing excellent interpersonal and office skills to offenders, public, lawyers, and judges.
This position must have an understanding of the Probation Department functions and services, maintain software applications and receive and direct all offenders coming into the probation office.
The successful candidate must be flexible with their work schedule to meet departmental needs, including adjusting work hours as necessary to accommodate offender appointments, court-related activities, office coverage, and other operational requirements.
Duties and Responsibilities- Assist with caseload of offenders under the guidance of Probation Officer.
- Mails out specimens for testing.
- Occasionally testify in court.
- Verify intake information of offenders.
- Direct offenders to appropriate outside agencies, such as medical and drug treatment facilities, programs and employment.
- Provides officers with documents to assist in completion of reports.
- Participates in ongoing training and development.
- Review court orders and reports to determine department actions as it relates to the supervision of offenders.
- Assist probation officers in creating case files and investigations by preparing forms, obtaining police reports, criminal history records, and personal information.
- Enter case information and assign cases to probation agents.
- Maintain department files, records and correspondences.
- Receive and screen telephone calls and walk-ins.
- Schedule and manage offenders appointments and inquiries in person and via phone.
- Supervise offenders in waiting rooms, detention rooms or performing community service.
- Inform offenders reporting for supervision on information regarding basic initial procedures, assigned agent and appointment.
- Prepare correspondences, letters, memos, reports, petitions, and orders.
- Work as part of a team and perform a variety of duties as part of role with the County.
Skills and Abilities
- Knowledge of specialized or related laws, terminology, rules or technical requirements specific to the office of assignment.
- Knowledge of compliance with the code of conduct for Judicial Employees and court confidentiality requirements.
- Knowledge of bookkeeping and general accounting practices.
- Knowledge of operations, policies and procedures of assigned department.
- Knowledge of modern office support, accounting, office equipment operations and general business practices.
- Ability to use computers and relevant software.
- Effective oral and written communication skills.
- Ability to work independently and accurately.
- Skill in managing time and setting priorities.
- Ability to handle a variety of typical assignments and problems under moderate supervision within standard operating procedures using moderate analytical ability.
- Ability to maintain effective communication and relationships within the department, with other departments, with other agencies and with the public.
- One year of specialized training beyond high school.
- Three years relevant work experience.
- Must obtain and maintain Security Awareness Training, Revenue Recap Training and Notary.
- Or an equivalent combination of education, training and experience.
