The Administrative Assistant (Marketing Coordinator) is essential to the day-to-day success of our Albuquerque office and its connection to the broader Water Works Engineers team. This role keeps operations running smoothly, supports high-quality marketing and proposal efforts, and ensures a professional, organized, and welcoming environment for staff and visitors alike. By coordinating administrative workflows, assisting with marketing pursuits, and providing cross-functional support to engineers, project managers, and corporate teams, you help turn great technical work into clear, polished deliverables.
Your attention to detail, reliability, and proactive support directly contribute to our efficiency, consistency, and reputation—making this position a vital link between people, projects, and performance across the firm.
- Support office coordination, administration, and management, marketing efforts, and company-wide administrative efforts.
- Serve as the first point of contact for guests and deliveries, and maintain the appearance and professionalism of the office.
- Manage calendars, schedule meetings, order supplies, and support both internal and external communications.
- Assist with marketing pursuits, production, and formatting of proposals, team resumes, project descriptions, and proposal delivery, while maintaining logs and records.
- Provide support to accounting and HR teams as needed, including timesheet review, expense entry, onboarding, and basic data entry, with discretion in handling confidential information.
- Format technical reports and assist with general administrative documentation as required.
- Lift and transport marketing materials or office supplies as needed to support errands or in-office activities.
- Complete occasional travel to deliver materials, run office errands, or assist with local outreach events, including career fairs, conferences, etc.
- High school diploma or equivalent is required; an associate degree is preferred.
- 1–3 years of administrative experience in a technical, engineering, or consulting office environment is preferred.
- Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) is required; experience with Adobe InDesign, SharePoint, or other marketing and file management tools is a plus.
- Excellent grammar, formatting, and organizational skills are essential.
- Demonstrated ability to stay organized, maintain professionalism, and adapt to shifting priorities in a fast-paced environment.
- A valid driver’s license and reliable transportation are required to support occasional local errands and office needs.
