The administrator role primarily works within the areas of production support, general office clerical support, and project management support. These are the primary duties listed below, however we require that employees adapt to the business needs and therefore this list may not encompass all required duties for the position.
Production Support- Assist with Material sourcing/ordering as needed
- One call submission and updates
- Sourcing and Managing Out of Town Housing
- Weekly schedule communication to field team
- Tracking and communicating field time-off requests
- Inputting office time off requests into outlook
- Managing all construction-related permit applications (footings, backflows, water meters, traffic control, SWPPP and fugitive dust)
- Serve as the first point of contact for phone calls, emails, visitors, inspectors, and agency representatives
- Route communications to the appropriate project manager, estimator, or executive
- Maintain a professional and organized front office environment
- Organization and management of office equipment—copier, fax, phones, etc.
- Manage office supplies inventory
- Adding/deleting equipment from insurance
- Manage and Document Safety Meeting literature. Follow up on outstanding toolbox talks
- Applying for business-related permits and tracking expiration dates
- Attendance tracking of hourly employees
- Champion maintaining organization in Share Point
- Management / Availability of Forms for field staff
- Applications and Hiring Packets
- Time sheets
- Warnings/Write up Forms
- Time off requests/stay in town requests
- Distributing Paychecks
- Manage incoming and outgoing Mail
- Updating and distributing equipment lists, including in Samsara
- Employee onboarding
- Manage items that Expire—AVP (business licenses, contractor's license, truck and trailer registration)
- Typing/formatting letters and other various construction documents as needed
- Requesting quotes as needed
Compensation commensurate with experience.
