Role SummaryThis position provides high‑level administrative support to the Public Health Division's Northwest Region, ensuring efficient operation of key administrative and clerical functions. The role conducts research, prepares statistical reports, handles information requests, drafts correspondence, and manages schedules and meetings. It serves as a communication liaison across the region and supports the agency's strategic objectives.
Responsibilities- Provide administrative assistance to leadership, including preparing reports, drafting correspondence, and reviewing memos.
- Handle information requests and prioritize communications for leadership action.
- Arrange and manage meetings, conference calls, and events; prepare agendas and distribute materials.
- Conduct research and compile statistical reports to support decision‑making and track relevant data.
- Oversee office administrative functions: file management, word processing, record keeping.
- Supervise and train lower‑level clerical staff; ensure adherence to policies.
- Serve as point of contact for internal & external stakeholders; respond to inquiries and service requests.
- Assist in evaluating customer satisfaction and implementing improvements.
- Support personnel, fiscal, and property management functions; monitor office resources.
- Facilitate communication among leadership, staff, and community partners to align with agency mission.
Organized and detail‑oriented professional with strong background in office administration and a passion for public health initiatives. Excellent written and verbal communication, capable of working in fast‑paced environment with shifting priorities.

High School diploma or equivalent and two (2) years work experience in office administration. Any combination of education from an accredited college or university in a related field and/or direct experience totaling two (2) years may substitute for the required experience.
Employment Requirements- Must possess and maintain a valid Driver's License.
- Must possess and maintain a current Defensive Driving Course Certification from New Mexico or obtain it as condition of employment.
The position is based at the Midtown Public Health Office. Working environment is primarily office‑based, fast‑paced, with frequent interruptions or shifting priorities.
Physical Requirements- Mostly sedentary; time spent at desk, using computer, answering phones, handling paperwork.
- Occasional lifting of supplies up to 25 lbs.
Travel throughout the Northwest Region for meetings, trainings, and other duties; reliable transportation required.
Working HoursStandard business hours Monday–Friday 8:00 AM–5:00 PM, with occasional extended hours or weekend work as needed.
