General Description of Duties- Provide administrative support to the Facilities Department.
- Serve as a back‑up Receptionist and maintain standard procedures for handling phones, visitors, and mail routing.
- Assist with managing the agency document control system, reviewing, updating, and working with document owners to ensure documents conform to company standards.
- Perform general clerical duties such as filing; take calls from customers; address customer questions or complaints; maintain equipment and office supplies.
- Maintain department information, ensuring that data is entered into various databases and submit a variety of administrative reports as required.
- High School diploma or equivalent, with two (2) years of general clerical experience required.
- Experience answering multiple phone lines required.
- Ability to provide exceptional customer service and display attention to detail.
- Demonstrated organizational skills required.
- Experience with writing and editing documents, including policies and procedures.
- Excellent PC skills, with high proficiency in Microsoft Applications.
- Ability to edit and proof documents with a high level of accuracy and efficiency.
- Effective communication in English with internal and external customers of Adelante.
- Ability to read and write English to understand and interpret written procedures.
- Ability to give and receive instructions in written and verbal forms and to effectively present information and respond to questions from clients, supervisors, and co‑workers.
- Ability to meet established deadlines.
- Ability to maintain harmonious, courteous, and considerate relationships, fostering a collaborative teamwork environment with both agency employees and the public.
- Ability to present a friendly, courteous image for the Agency to the general public, customers, and public officials.
- Must pass background/fingerprint investigation and pre‑employment drug screening.
- Must possess a valid NM driver’s license and proof of auto liability insurance.
- Must have own reliable transportation and an agency‑insurable driving record.
- Must be able to sit and perform keyboarding functions continuously.
- Must be able to stand, walk, bend, stoop, and reach above shoulder(s) frequently.
- Must be able to push/pull and lift 10–15 lbs. occasionally.
