Position SummaryThe Administrative Support Assistant position is a cross-trained, front-line support role that provides excellent customer service and administrative assistance across multiple service areas within the Student Union Building. These service areas include the Welcome Desk, Administrative Desk, Events and Planning Office, and the Facilities/Maintenance team. They are the first point of contact for many who enter the Student Union Building, including students, staff, faculty, community members, and more.
Administrative Support Assistants answer questions, direct people to various departments or locations, understand and navigate the work order system, and assist in reserving spaces. They ensure all feel welcome and receive efficient, helpful service. The SUB is looking for a candidate that can begin SUMMER 2026.
- General:
Follow established procedures and guidelines. Follow confidentiality guidelines. Crosstrain in multiple desk areas to ensure coverage and operational continuity. Communicate effectively with supervisors and team members. Maintain professionalism and friendly demeanor. - Welcome Desk Operations:
Greet and assist students, staff, community members, and visitors with professionalism and in a friendly manner. Answering general questions regarding campus locations, refer people to appropriate contacts, and have a working knowledge of campus information. Maintain a welcoming, organized environment. Ensure logs are up to date and maintained. - Administrative Desk Operations:
Perform basic administrative tasks such as filing, scanning, and receiving mail. Support Administrative Office operations by assisting staff as needed. - Event Planning Operations:
Reserving rooms. Assist with scheduling and managing room reservations using EMS. Communicate meeting space availability to customers. Process requests, inquiries, updates, and cancellations. - Facilities:
Knowledgeable in navigating work order system. Ability to place and retrieve work orders for facilities team.
Preferred Qualifications
- Required Qualifications:
Strong customer service and communication skills. Ability to multitask and work independently. Basic computer skills and willingness to learn new systems. Strong organization and problem-solving skills. Performs miscellaneous job-related duties as assigned.
Prior customer service or administrative experience. Prior experience with scheduling and booking meetings. Prior experience with work order systems. Bilingual skills (English/Spanish) preferred.
