About the rolePosition: Full‑Time Office Administrator (Albuquerque Office)
Key responsibilities- Operate central telephone system and route incoming calls.
- Receive vendors, customers, and visitors; answer general inquiries and direct to appropriate personnel.
- Perform general administrative duties: scanning, data entry, report preparation, mail distribution, typing, sorting, filing.
- Use scheduling program to enter client calls.
- Maintain and order office supplies; arrange equipment maintenance.
- Review, route, and distribute incoming mail.
- Prepare outgoing mail and correspondence, including emails, faxes, and deliveries.
- Assist in weekly billing summary review; prepare client invoices, process payments, deposit and apply to invoices.
- Input project‑related data (timesheets, work orders, proposal numbers, mileage, lab data).
- Review, code, and forward invoices to project managers; send documents to corporate office for approval and payment.
- Maintain confidentiality of work materials.
- Represent the organization with a favorable image.
- Perform general physical activities (talking, hearing, seeing); routine repetitive wrist, hand, and finger movements.
- Work seated for up to 8 hours; occasional standing.
- Lift 10–30 lbs.
- Any combination of education and experience that provides the required skills; college degree preferred but not required.
- Good typing skills; accurate and detail oriented.
- Well organized.
- Proficient with computer applications and office equipment (multi‑phone lines, printers, etc.).
- Experience with Ajera a plus.
$19.24 – $21.26 USD per hour
