The Operations Administrative Assistant provides administrative support to Chief Operations Officer (COO), Chief Human Resources Officer (CHRO), and the Chief Finance and Administration Officer (CFAO).
Duties and Responsibilities- Data entry and data clean-up projects.
- Calendar management for multiple Senior Managers.
- Supply ordering, pick‑up, and delivery.
- Inventory management and credit card receipt tracking.
- General office duties such as making photocopies, printing signage, gathering signatures, scanning documents, uploading documents, and sending faxes.
- Creating flyers, updating signage, and updating client‑facing information (Power Point slideshows).
- Answering multiple‑line phone calls and directing callers to appropriate extensions efficiently.
- Replying to all emails in a timely and professional manner.
- Compliance with all AHCH policies and procedures.
- Keen attention to detail, with an ability to spot errors and inconsistencies.
- Strong analytical and time‑management skills.
- Exceptional organizational skills.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality.
- Self‑starter with the skill to navigate the varied responsibilities of a busy office.
- Robust knowledge of the Office Suite.
- High school diploma or equivalent.
- At least 2 years of experience in administrative support.
- Previous experience working in a nonprofit or healthcare setting.
- Familiarity with working within a project‑management model.
- Experience working in a complex, multi‑department organization.
