Why does the job exist?
This position performs administrative duties for the Background & Licencing Department of the New Mexico Gaming Control Board (NMGCB) and interacts with the public who come or call the NMGCB.
How does it get done?The selected applicant for the Senior Administrative Assistant – Front Desk position will:
- Examine, evaluate and prepare all incoming applications requesting licensure within the State of New Mexico for appropriate auditor.
- Determine completeness of all incoming license applications based on whether they meet the criteria in accordance with laws and regulations as authorized by the Bingo & Raffle Act, Gaming Control Act and Board rules.
- Obtain and upload pertinent background records for applicants.
- Manage and maintain crucial data‑driven logs, spreadsheets required for daily department function as well as quarterly and annual agency statistical reports.
- Work directly with the public via answering/transferring all incoming calls to the agency, generating/answering emails and welcoming all walk‑in individuals.
- Process and distribute all incoming mail/packages to include logging and generating daily deposits.
- Ensure equipment is in working order.
- Organize and maintain office supplies for the Division and order necessary supplies as needed.
- Organize and maintain confidential file room.
- Prepare and send correspondence related to Bingo/Raffle, gaming and manufacture applicants and to licensed individuals/businesses pertaining to expiration and renewal notices and Board Decisions & Orders.
Management and staff of the New Mexico Gaming Control Board, individual and business applicants in the New Mexico gaming industry.
Ideal CandidateIdeal candidate will have:
- Ability to interact well with the public.
- Effective writing skills with experience in crafting correspondence that reads clearly.
- Strong attention to detail with an eye to catch errors.
- Ability to handle interruptions gracefully and then return to previous work.
- Ability to prioritize work to meet deadlines governed by law.
High School diploma or equivalent and two (2) years work experience in office administration. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience.
Employment RequirementsSelected candidate must have a driver
¿ s license and will be subject to an extensive pre‑employment background check that includes fingerprinting.
New Mexico Gaming Control Board employees may not participate in any gaming activity including bingo and raffle in the State of New Mexico. This does not include State Lottery and New Mexico horse racing.
Working ConditionsWork is performed in a front desk/lobby setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending, walking, reaching and lifting up to 25 pounds may be required. This is not a remote position.
