The New Mexico Municipal League (NMML) is seeking an organized, detail-oriented full-time administrative assistant, with a focus on supporting event/training planning and execution, maintaining and organizing records, responding to member correspondence and phone calls. The Municipal League is a nonprofit, nonpartisan association representing and serving New Mexico’s cities, towns, and villages. In addition to serving 106 municipalities, the Municipal League also provides support for 14 subsections of municipal employees and elected officials and administers the New Mexico Self-Insurers’ Fund.
Responsibilities- Assist in the coordination and execution of meetings, events, workshops, and training sessions across the state.
- Answer incoming calls and email correspondence, including answering inquiries, taking messages, and directing inquiries to appropriate personnel.
- Maintain and update member contact information and other relevant data in the League’s membership database.
- Organize and maintain membership files and records, both electronic and physical, ensuring accuracy and confidentiality.
- Assist in the preparation and distribution of documents, reports, and presentations, ensuring accuracy and timeliness.
- Support NMML communications to ensure members receive timely and accurate information via email listservs, newsletters, the organization’s website, and other communications methods as appropriate.
- Conduct routine administrative duties such as filing, typing, copying, and scanning.
- Perform other administrative duties as assigned.
- Excellent organizational skills and attention to detail, with ability to manage multiple tasks and deadlines.
- Strong verbal and written communication skills.
- Proficient in Microsoft Office Suite and related software; familiarity with database software.
- Ability to work independently and as part of a team.
- Strong customer service orientation.
- Knowledge of local government operations is a plus.
- Ability to travel various times throughout each month for member meetings, events, workshops, and training sessions.
- Associate degree or higher in related field preferred.
- At least five years of administrative or related experience.
- Experience in member services or customer service roles is a plus.
Primary work location is the NMML/NMSIF Albuquerque office, and on occasion at the Santa Fe office. Travel throughout the state is required, with approximately 20 trips per year, with each trip spanning between 2-5 days each. Employees may work one day per week remotely, contingent on job duties and performance.
CompensationCompetitive pay, commensurate with qualifications and experience.
