Position Summary
The Administrative & Project Coordinator provides administrative, operational, and project support to leadership and organizational initiatives. This position coordinates meetings, communications, reporting, data collection, documentation, outreach activities, and special projects while supporting organizational operations and continuous improvement efforts.
Essential Duties and Responsibilities Administrative Support- Manage calendars, meetings, and scheduling for leadership.
- Prepare agendas, meeting materials, minutes, and follow-up items.
- Maintain files, records, policies, procedures, and organizational documentation.
- Process and coordinate partner requests for outreach events, including completing event request forms, gathering outreach materials, and coordinating resources.
- Assist with correspondence, communications, and inquiries from staff, partners, customers, and community organizations.
- Run reports, compile data, and maintain tracking systems to support organizational reporting and performance measurement.
- Collect, compile, and maintain organizational and project-related data.
- Prepare reports, dashboards, presentations, and summaries for leadership and partners.
- Monitor performance metrics and support reporting requirements associated with grants, contracts, and organizational initiatives.
- Maintain tracking tools and reporting systems to ensure accurate and timely data.
- Support organizational projects, initiatives, and strategic priorities.
- Track project tasks, deadlines, deliverables, and follow-up activities.
- Coordinate communication and information sharing among staff and partners.
- Assist with research, process improvement efforts, and special projects.
- Support organizational planning and continuous improvement activities.
- Assist with organizing meetings, workshops, outreach events, and partner activities.
- Maintain outreach event calendars and support community engagement efforts.
- Assist with the preparation and distribution of outreach materials and informational resources.
- Associate Degree in Business Administration, Public Administration, Communications, or a related field preferred experience may substitute for education.
- Two (2) years of experience in administrative support, program coordination, operations support, or a related field.
- Strong organizational, communication, and problem-solving skills.
- Proficiency with Microsoft Office Suite, including Excel, Word, PowerPoint, Teams, and reporting tools.
- Experience with data collection, reporting, outreach coordination, and customer service preferred.
- Ability to coordinate activities across multiple programs and partners.
- Ability to collect, analyze, and present information effectively.
- Strong organizational skills and attention to detail.
- Ability to manage competing priorities and meet deadlines.
- Strong written and verbal communication skills.
- Ability to maintain professionalism and confidentiality while working with staff, partners, customers, and community organizations.
Reports to the Workforce Director, Operations Manager, or other designated leadership position.
Employment pending a successful background check, a valid New Mexico driver’s license and no more than one (1) moving violation in the past year. All new employees are hired subject to a one-year probationary status. Salary is entry level commensurate with experience.
