IPRA Intake Coordinator

Tryfacta is seeking an IPRA Intake Coordinator for our client in Albuquerque, NM 87102. This is a temporary contract assignment. If you meet the qualifications listed below and are interested, please apply now!

Position Summary:

The IPRA Records Specialist is responsible for receiving, evaluating, and coordinating all levels of public records requests for the IPRA Division. This role manages the digital public records portal, supports case assignment and scheduling, conducts research, coordinates with city departments, and ensures compliance with the Inspection of Public Records Act (IPRA). The position also provides administrative support and contributes to process improvements and training efforts within the division.

Responsibilities for this position include, but are not limited to:

  • Intake & Assignment – Receive, evaluate, and coordinate the intake of all types and levels of public records requests for the IPRA Division; identify and assign requests to the appropriate unit/team.
  • Case Support & Scheduling – Provide support in assigning and scheduling staff to cases; ensure adherence to the IPRA Division policies, procedures, standards, and guidelines.
  • Portal Management – Manage and monitor the City's digital public records request portal, Next Request; ensure timely intake and that incoming requests are processed timely; track pending responses.
  • Tracking & Reporting – Collect, review, and track IPRA requests intake numbers; run statistical reports; conduct research on all types and levels of public records requests.
  • Research & Verification – Assess and conduct research using multiple databases; verify public record types; coordinate with various city departments to obtain and produce all types and levels of public records for persons or entities seeking public records; may include crime lab evidence retrieval.
  • Process Guidance & Issue Resolution – Provide IPRA process and procedural information; assess payments; respond to and resolve complaints and requests for information on policies, procedures, systems, and precedents related to IPRA.
  • Training & Outreach – Provide IPRA request triage training for department personnel and community partners; provide program and project assistance on a variety of special projects; participate in a variety of work groups; respond to public inquiries; provide information as requested within the area of assignment.
  • Continuous Improvement – Identify opportunities for improving service delivery methods and procedures; identify resource needs; review with appropriate management staff; implement improvements.
  • Liaison Duties – Serve as a liaison for the IPRA Division to the general public, other City departments and divisions, and outside agencies.
  • Administrative Support – Perform a variety of highly responsible and complex administrative and clerical duties in support of the IPRA Division.
Supplemental Functions
  • Attend and participate in professional group meetings; stay abreast of new trends and innovations to IPRA and public records management.
  • Perform related duties and responsibilities as required.
  • Coordinate and participate in special projects and events to department efficiency.

    Minimum Education and Experience Requirements

    Education and experience directly related to the minimum requirements below may be interchangeable on a year for year basis.

    • Education:

      Associate's degree from an accredited university or college in office administration, business administration or a related field; and
    • Experience:

      Three (3) years of office management, case or document processing management experience.
    • Preferred:
      Experience working with public records, IPRA, or Freedom of Information Act (FOIA).

    Dependent on position, may require a valid New Mexico Driver's License and a City Operator's Permit (COP).

    Preferred Knowledge
    • Pertinent Federal, State, and local laws, codes, and regulations.
    • Principles and practices of the Inspection of Public Records Act ( "IPRA ").
    • Provide information and assistance to the public regarding IPRA.
    • Perform responsible and difficult administrative support involving the use of independent judgment and personal initiative.
    • Interpret situations and determine the appropriate course of action.
    • Maintain confidentiality
    • Operations, services, and activities of IPRA program.
    • Principles and practices of records management.
    • Methods and techniques of report writing and information gathering.
    • English usage, spelling, grammar, and punctuation.
    • Modern office procedures, methods, and equipment including computer programs.
    • Methods and techniques of research and analysis.
