Accounting Positions - Cloudcroft Municipal Schools

Job Description

To perform school business and financial functions necessary for the efficient, accurate, and compliant operation of the District's Business Office while maintaining confidentiality and adhering to all applicable federal, state, and local laws, regulations, and Board policies.

Duties and Responsibilities
  • Process accounts payable transactions in accordance with District policy and applicable federal, state, and local regulations.
  • Review invoices and supporting documentation for completeness, accuracy, and proper authorization.
  • Verify budget account coding and ensure expenditures are charged to the appropriate funds and functions.
  • Maintain and process purchase orders from creation through final payment.
  • Prepare vouchers and issue vendor payments in a timely manner.
  • Maintain accurate vendor records, including W‑9 documentation, tax information, and vendor setup/updates.
  • Post receipts and maintain supporting financial documentation.
  • Process payroll expenditure billings and related accounting entries.
  • Reconcile vendor statements and resolve payment discrepancies.
  • Communicate with vendors regarding invoices, payments, and account inquiries.
  • Maintain organized financial records in accordance with state record retention requirements.
  • Assist with monthly, quarterly, and annual financial closing procedures.
  • Assist with preparation for annual financial audits and provide requested documentation.
  • Monitor compliance with District purchasing procedures and internal controls.
  • Assist with grant expenditure documentation and reporting, as assigned.
  • Prepare reports and financial documentation as requested by the Business Manager or Superintendent.
  • Cross‑train with other Business Office staff to ensure continuity of operations.
  • Maintain confidentiality of financial, employee, and District information.
  • Perform other related duties as assigned.
Knowledge, Skills, and Abilities
  • Knowledge of governmental accounting principles and public school financial procedures.
  • Knowledge of New Mexico procurement requirements, purchasing procedures, and public finance practices.
  • Ability to maintain strict confidentiality of financial, personnel, and District information.
  • Strong attention to detail with a high degree of accuracy.
  • Excellent organizational, time management, and recordkeeping skills.
  • Ability to prioritize multiple assignments while consistently meeting deadlines.
  • Strong analytical and problem‑solving skills.
  • Effective written and verbal communication skills.
  • Ability to work collaboratively with administrators, staff, vendors, auditors, and outside agencies.
  • Proficiency with Microsoft Office Suite, Google Workspace, and financial accounting software.
  • Ability to interpret and apply District policies, procedures, and applicable laws and regulations.
  • Ability to work independently while exercising sound judgment, professionalism, and initiative.
  • Commitment to outstanding customer service, ethical conduct, and professional integrity.
Minimum Qualifications
  • High school diploma or GED required.
  • Associate's degree in accounting, business administration, finance, or a related field preferred.
  • Three (3) years of progressively responsible bookkeeping, accounting, or governmental finance experience preferred.
  • Experience in a public school business office preferred.
  • Valid New Mexico driver's license.
Physical / Cognitive Requirements
  • Ability to sit for extended periods while performing computer‑based work.
  • Ability to lift and carry up to 25 pounds.
  • Ability to perform repetitive keyboarding and data entry.
  • Ability to review and analyze detailed financial records with a high degree of accuracy.
  • Ability to maintain concentration despite frequent interruptions.
  • Ability to meet multiple deadlines in a fast‑paced office environment.
