PositionSummary
This position will report to the Associate Director of Finance & Accounting and will work closely with the Managing Director of Shared Services, the Senior Director of Grant Management and Compliance, the Vice President of Finance & Accounting and the Managing Director of Programs. The role supports the finance team within the Shared Services Department and the programs team on grant financial administration and audit preparation, serving as the essential bridge between finance and programs to ensure alignment on financial data and reporting.
Dutiesand Responsibilities Grant Support Responsibilities
- Run GL and P'L reports in MIP, file them in the applicable grant accounting folders, highlight any unallowable or questionable activity, and attend grant budget tracking meetings.
- Prepare for and attend grant orientation and revenue recognition meetings for all grants and applicable sponsor ships, completing Budget Summaries and Grant Budget Tracking Sheets in compliance with nonprofit accounting standards.
- Prepare for and attend scholarship meetings, provide data for program scholarship balance research, maintain monthly scholarship reconciliation, and collaborate with program and accounting teams.
- Create invoices in MIP from revenue recognition files for new grants and sponsor ships, defer revenue that cannot yet be recognized, and log all invoices on the cash flow spreadsheet.
- Update all tabs on the Grant and Report Spreadsheet, ensure all reporting deadlines are entered in Asana/Salesforce, and distribute calendar invites to responsible staff.
- Create new budgets in MIP and process budget modifications as necessary.
- Prepare financial reports and FFAFTA subaward reporting for grants.
- Assist in preparation of financials and materials for audits, compliance reviews, funder requests, etc.
- Other duties as assigned.
- Calculate IDC, create invoices in MIP for monthly federal drawdowns, submit through drawdown systems, and log all invoices on the cash flow spreadsheet.
- Compile and submit supporting documentation for drawdowns as required by funding agencies and auditors, update the AR schedule for federal drawdowns and grant reimbursement invoicing.
- Review grant AP invoices submitted through accounts payable check run and credit cards for coding compliance and accuracy.
- Maintain monthly asset schedule, analyzing restricted and unrestricted net asset position.
- Prepare and deliver monthly financials for each department, educate and support staff in monitoring budget variances and trends, and provide actionable insights.
