Overview
Schedule: Monday-Friday with other shifts as needed.
Location: Woodward.
Job Summary: Responsible for processing all Legal, third-party, and patient release of information (ROI) requests in a timely and efficient manner ensuring accuracy and providing customers with the highest quality product and customer service. Specialists must always safeguard and protect the patient’s right to privacy by ensuring that only authorized individuals have access to the patient’s PHI and that all release of information is in compliance with the request, authorization, Tri Core policy and HIPAA regulations.
Functions
- Receive and respond to requests by opening mail, email, fax, assisting walk-ins and telephone inquiries in a timely manner for patient records, retrieving, tracking, and transmitting them appropriately in accordance with Tri Core policies and procedures while safeguarding patient records and ensuring compliance with HIPAA standards.
- Documents and tracks patient requests daily.
- Reviews patient requests for medical records for completeness, accuracy, and compliance with regulations and policies and procedures.
- Protects the security of medical records to ensure that confidentiality is maintained.
- Arranges for release of routine and escalated requests for medical records to patients who present in the main lobby.
- Releases patient requests for medical records in accordance with policies and procedures.
- Assist with records management by performing the following:
- Access the online database of records stored.
- Verify documents to be retrieved from storage.
- Verify documents to be deposited for storage.
- Assist with training associates in the HIM Technician I position.
- Participates in project teams and committees to advance operational strategies and initiatives as needed.
- Assist with additional work duties or responsibilities as evident or required.

Minimum Education- Associate degree in Health Information Technology or a related field of study
- High School Diploma
- Associate degree in Health Information Technology or a related field of study plus 2 years’ experience in Health Information practices to include data privacy, regulatory requirements, electronic health records, medical records, filing and retrieval.
- High School diploma plus 4 years of health information experience to include data privacy, regulatory requirements, electronic health records, medical records, filing and retrieval.
- RHIT Certification
Prove immunity to Hepatitis B, be immunized, or sign a waiver refusing hepatitis immunization. Provide documentation of a PPD test conducted not more than 90 days prior to date of hire or have a PPD test conducted.
General Requirements- Possess basic knowledge of Tri Core Laboratory Information Systems and computer applications including, but not limited to, Salesforce, Sunquest Lab, Power Path, OnBase, Antrim, Microsoft Outlook, and online reference websites. Competent navigation through applications.
- Ability to work independently and make independent decisions, strong problem-solving skills that include directing questions to the appropriate resource.
- Maintain patient and client confidentiality.
- Prior work experience in ROI.
- Professional verbal and written communication skills.
- Knowledge of HIPAA privacy information standards.
- Detail and quality oriented as it relates to accurate and compliant information for medical records.
- Strong data entry skills.
