Work Schedule: 5 days a week; 10-hour shifts (occasionally longer)
Overtime and weekends as required.
Full or Part-time: Full-time only
Compensation: $22 - 29.75/hour, depending on experience

Position Summary

The Procurement Clerk is responsible for managing the plant's procurement activities, including ordering spare parts, maintenance supplies, equipment components, and other materials required to support safe and efficient plant operations. This position manages purchase orders, invoices, vendor communications, and inventory using the company's ERP system (Oracle).

The Procurement Clerk also maintains the plant storeroom and spare parts inventory to ensure materials are properly stocked, organized, documented, and readily available to support maintenance and production operations. Accuracy, organization, and strong communication are essential to success in this role.

Key Responsibilities
  • Create, manage, and track purchase orders from initiation through completion, including order placement, receiving documentation, and invoice verification.
  • Order spare parts, maintenance supplies, equipment components, and other materials needed to support plant operations.
  • Process and code invoices accurately, resolve discrepancies with vendors, and coordinate with accounting for timely payment.
  • Utilize the company ERP system (Oracle) to create purchase orders, process receipts, document procurement transactions, and maintain purchasing records.
  • Maintain an accurate inventory of spare parts and maintenance supplies by organizing the storeroom, tracking inventory levels, and updating inventory records.
  • Perform routine inventory counts and reconcile inventory records to ensure system accuracy.
  • Track and issue spare parts to maintenance personnel while maintaining accurate inventory documentation.
  • Develop and maintain an organized storeroom with clearly labeled parts and designated storage locations.
  • Coordinate with maintenance personnel to identify required parts and ensure timely ordering to minimize equipment downtime.
  • Communicate with vendors regarding pricing, order status, delivery schedules, invoice questions, and procurement-related issues.
  • Monitor procurement-related emails and respond promptly to purchase requests, vendor communications, and internal inquiries.
  • Maintain organized digital and physical procurement records, including purchase orders, vendor documentation, invoices, and inventory records.
  • Manage online purchasing through vendors such as Amazon, Grainger, Motion, and other approved suppliers.
  • Assist with receiving materials and coordinate with warehouse personnel when needed.
  • Support urgent procurement activities during equipment breakdowns and other operational needs.
  • Follow all plant safety rules and maintain excellent housekeeping within the storeroom and work areas.
Experience and Education Qualifications
  • High school diploma or equivalent required.
  • Experience in purchasing, procurement, inventory control, warehouse operations, or a related field preferred.
  • Experience in a manufacturing or industrial environment is preferred.
  • Experience using ERP systems, preferably Oracle, is preferred.
  • Proficiency with Microsoft Office applications, including Excel and Outlook.
  • Strong organizational skills with the ability to manage multiple priorities and maintain accurate records.
  • Forklift and pallet jack experience is preferred.
Work Environment & Conditions
  • Work is performed in both office and industrial plant environments.
  • The plant is not heated or air-conditioned.
  • Moderate noise levels in production and maintenance areas.
  • Frequent interaction with maintenance personnel, vendors, and plant operations.
  • Occasional outdoor work while receiving deliveries or locating equipment.
